Nature and Scope

The Project Coordinator provides event coordination and administrative support for the WCDU Department at SIIT. This position will positively promote and create an environment that demonstrates SIIT's vision, mission, and mandate.


General Accountability

The Project Coordinator works collaboratively with the department and is accountable to manage the logistics involved in the various training, programs, and events held by the department, anticipate project needs, and balance tight deadlines.


Specific Accountabilities

This position is accountable for planning, coordinating and executing events and assisting with initiatives led by the Program Coordinator. The position is accountable to synchronize all logistics involved in the successful completion of projects. This position provides additional support as required and includes the following broad range of accountabilities:


Coordination & Administration

  • Coordinate event logistics such as materials, equipment (including A/V), on-site production, set up/take down, and other event requirements
  • Coordinate with key stakeholders on event-related matters
  • Coordinate in finalizing all logistics for assigned events and projects
  • Provide administrative support for events as required
  • Monitor events, programs, and training to ensure events are organized and run smoothly
  • Mitigate risks and issues that may arise before, during, and after the event/program/training
  • Research and negotiate venue contracts, locations and secure contracts for trainings and booking of appropriate spaces
  • Collect data on events, assess results and make recommendations for future project planning and delivery
  • Prepare program and promotional materials, according to SIIT guidelines, and distribute as required
  • Coordinate and track payments and invoices as required
  • Oversee registration for events; including processing, tracking, and follow-up as required
  • Coordinate and monitor WCDU on-line training


Research & Reporting

  • Assist with the research as it relates to the improvement of WCDU events and initiatives
  • Assist with the development and implementation or program policies and procedures
  • Gather and share feedback regarding program or project improvements from training events
  • Research facilitators, trainer and topics for the department
  • Complete period-ending reports

Relationship Management

  • Liaise with facilitators and students as required and provide creative solutions to issues as they arise
  • Provide client and stakeholder services in a timely, efficient and tactful manner
  • Develop and maintain positive working relationships with all clients, stakeholders, and funders
  • Ensure a positive, diverse and inclusive work and learning environment
  • Contribute to SIIT's strategic effectiveness by representing and participating on internal and external committees as required


Required Qualifications and Experience:
A business related degree or diploma. A minimum of three years of event planning experience is required; an equivalent combination of education and experience may be considered. Experience in a post-secondary institution and knowledge of First Nations cultures and organizations would be an asset. Incumbent must have a valid driver's license and reliable transportation as travel is required.
