Role and Responsibilities
We are seeking a full-time Production Office Administrator to join our Production team. Reporting to the Director of Production, the Production Office Administrator is responsible for work order management, capacity planning, inventory tracking, database management and handoff to shipping.

Primary areas of responsibility include

  • Reviewing work order status with production line and shipping to ensure orders are on track to ship on schedule
  • Reviewing incoming orders to ensure sufficient parts, lead time, and information is available to meet customer requirements
  • Identifying and acting on needed stock work orders to match forecast
  • Coordinating customer orders between sales, production, and shipping
  • Gathering information on production line capacity and product availability
  • Running trial kitting, reviewing purchase order due dates, and consulting with procurement when large sales orders are received
  • Coordinating periodic inventory checks on finished goods, work in progress and raw materials in the production area
  • Developing reports on available for sale finished goods, work in progress, and raw materials
  • Accounting for materials spoilage as well as development builds
  • Identifying and implementing physical inventory control systems
  • Auditing as-built material usage against BOM definitions and design documents
  • Problem solving related to work order transactions
  • Developing policies and procedures for proper use of Syspro ERP activities
  • Driving changes to ERP system to improve accuracy and workflow using existing capabilities
  • Preparing and reviewing documentation to be included with product shipments
  • Completing work orders for special projects
  • Adding materials and components to shipments from outside of production inventories

Required Skills and Experience

  • Strong interpersonal skills with ability to communicate with variety of team members
  • Proficient with Syspro or other ERP software in a manufacturing environment; especially with inventory control, bill of materials, job management, and sales orders
  • Proficient with Microsoft Office
  • Familiar with Atlassian Jira and Confluence
  • Familiar with mechanical and electronic concepts
  • Comfortable with Lean manufacturing language and concepts
  • Highly organized, multitasking, and attentive to detail

Education
Candidates are required to have completed a college or university degree or equivalent work experience and training.
