The Role

This position covers a wide range of duties with a focus on helping to create operational excellence at all levels of the organization. The Chief of Staff Intern supports various business activities, including managing information flow and dissemination, contributing to strategy discussions, maintaining a positive corporate culture, and supporting departments such as finance and human resources.

As technology has replaced many functions related to correspondence management and scheduling, the executive levels of the organization face an increased volume of engagement and a significantly higher number of decisions to make daily. An essential function of the Chief of Staff Intern is to support the CEO with decision-making about work and correspondence priorities (internal and external).

The Chief of Staff Intern is well-organized, has excellent time management skills, takes initiative, has a knack for numbers, can keep strict confidentiality, and works well with limited supervision. Furthermore, they have excellent oral and written communication skills and can organize work effectively using collaboration tools such as Google Workspace.

The Chief of Staff Intern will report directly to the CEO and spend the bulk of their time assisting the CEO in various areas, from scheduling to strategy. This is an excellent opportunity to work in an exciting and varied role with an innovative company that is positively impacting the world.

Responsibilities
  • Be a trusted partner to the CEO; identifying, analyzing, and executing critical company initiatives and projects by gathering relevant information and offering recommendations.
  • Monitor the organization's day-to-day operations; streamline internal processes, resource allocation, and operations to improve efficiency and productivity across the organization.
  • Collaborate with department heads to improve processes and coordinate organizational procedures to ensure optimum efficiency.
  • Assist the CEO and department heads in developing and maintaining a strong company culture that attracts, retains, and develops top talent, fostering a high-performance, collaborative, and innovative work environment.
  • Manage and contribute to the CEO's information and decision flow: Have the first pass on all internal and external communications with the CEO; Process queries on the CEO's behalf (to the degree delegated); and Prioritize tasks based on importance and urgency; all while handling sensitive information with appropriate discretion.
  • Manage the CEO's meetings as needed, developing agendas, recording minutes and action items, and following up as needed.
  • Maintain contact lists, ensuring up-to-date information and positive professional relationships.
  • Write and distribute emails, correspondence memos, letters, and forms with appropriate language and tone.
  • Maintain strict confidentiality regarding all correspondences and information obtained during their responsibilities.
  • Any other duties or responsibilities reasonably required of the role.
Qualifications

This role is hosted in partnership with Mitacs and Queen's University. To be eligible for the role, candidates must meet the following requirements:

  • Be enrolled in a master's program at the Smith School of Business at Queen's University for the entirety of the contract length

Other Desired Qualifications:

  • Experience in an administrative/office/executive support role is an asset.
  • Excellent organizational, time management, and task management skills, as well as attention to detail.
  • Exemplary sense of accountability, confidentiality, professionalism, and people and relationship management skills.
  • Resourceful, driven, self-motivated, and able to complete many tasks quickly and effectively.
  • Proficiency using Google Workspace (Calendar, Drive, Gmail) and strong spreadsheet skills.
Salary, Benefits, & Work Environment
  • $10,000 CAD remuneration over a 4-6 month contract [length to be discussed] at 20-30 hours per week.
  • Core hours of operation are between 8 am to 5 pm EST. Weekly schedule to be discussed with individual candidates based on availability
  • 4-6 months contract beginning mid-March 2024.

  • This is an in-office role with some flexibility for remote work. Office location: 200 Princess Street, Kingston, Ontario
