Reporting to the Senior Manager of Human Resources, the Human Resources Coordinator will play a crucial role in supporting various HR functions and ensuring the smooth and efficient operation of the HR department. This role involves assisting with recruitment, onboarding, employee records management, and various HR administrative tasks. The ideal candidate will have excellent communication skills, be well-versed in HR best practices, and be committed to maintaining a high level of confidentiality.

Position Description

Recruitment Support:

  • Assist with job postings on various platforms and websites.
  • Screen resumes and applications, and schedule interviews.
  • Coordinate and communicate with candidates throughout the hiring process.
  • Conduct reference checks and background screenings as needed.
  • Coordinate, attend, represent and promote FNCIAS at career fairs and community events.

Onboarding and Orientation:

  • Prepare and distribute new hire orientation materials.
  • Assist in onboarding paperwork and documentation.
  • Ensure a smooth onboarding experience for new employees.

Employee Records Management:

  • Maintain accurate and up-to-date employee records and files.
  • Help with the preparation of HR reports and data analysis.
  • Ensure compliance with data protection and privacy regulations.

Benefits Administration:

  • Support employees in benefit enrolment and inquiries.
  • Assist in the coordination of open enrolment periods.
  • Collaborate with external providers for benefit-related matters.

HR Administrative Tasks:

  • Handle HR-related inquiries and provide information to employees.
  • Assist in HR policy and procedure updates and implementation.
  • Support in the administration of HR programs and initiatives.

Compliance and Legal:

  • Stay up-to-date with labour laws and regulations.
  • Participate in the development of HR policies and procedures.

Employee Relations:

  • Address employee inquiries and issues with confidentiality and professionalism.
  • Assist in the resolution of minor employee disputes or conflicts.
  • Contribute to a positive and inclusive work environment.

General Human Resources Support

  • Ensure priorities and deadlines are met, and that correspondence is handled accurately, efficiently, professionally, and confidentially.
  • Oversees and reviews letter writing, and reports; initiates, collates, drafts, and finalizes information.
  • Prepare, gather, save/file and relay confidential information and material with discretion on a regular basis.
  • Assists with special projects as needed.
  • Provides vacation cover-off for administrative roles.
  • Any other duties that may be assigned from time to time.

Education and Experience

Post-secondary certificate in Office Administration, Business Administration, or related field with two years' experience as an Administrative Assistant including one year in a Human Resources role. An equivalent level of experience and education may be considered.

Successful candidates in this position may come from a variety of academic and/or experiential backgrounds, however demonstrating a passion for improving housing and infrastructure outcomes on reserve lands is mandatory.

  • Familiarity with industry-standard technologies, software applications, and cloud services.
  • Experience working with external vendors and ensuring the quality and accuracy of their work.
  • Ability to work independently and maintain a high level of integrity and personal accountability.
  • Ability to embrace challenges and areas of rapid growth.
  • A deep respect and understanding of First Nation culture, traditions, and values, and the ability to integrate these into daily activities.
