Job Description: Accounting Assistant
We are looking for an Accounting Assistant to help keep up with our increasing workload. We are looking for goal-oriented people who have a passion for their work and who can flourish within a fast-paced, demanding workplace.
As an Accounting Assistant, you would be responsible for providing accounting and clerical support to the entire Isidore team. Responsibilities include reviewing and reconciling accounts, processing payments to external partners and maintaining updated records of customer invoices and receipts. To be successful in this role, you should have a Finance or Accounting background and be familiar with general accounting. Ultimately, the right candidate will take pride and ownership over their work while ensuring all financial transactions are processed accurately and on time.
Job Duties
- Daily entry of key data in financial systems and other software systems. Includes vendor invoices, visa statements, and employee expense reports.
- Ensure proper coding of expenditures and the appropriate treatment of sales tax. Responsible for preparing vendor payments, electronic payment batch summaries for review and coordinating the bank payment with the Accounting & Administration Manager.
- Daily entry of basic customer billings and conversion of work orders into customer bills. Responsible for processing customer receipts in the system, including receipts of cheques, EFT and Cash payments. Prepare deposit summary logs and coordinate with the Accounting & Administration Manager for bank deposits regularly.
- Reconcile bank statements to the general ledger
- Accounting and clerical support, including electronic filing of vendor invoices, input of journal entries, and other general office administrative duties as needed
- Manage company general e-mail account for payables and receivables, respond to customer queries over email and phone.
- Contact customers and send reminders to ensure timely payments.
- Reconcile general ledger accounts as assigned on a timely basis. Update accounting spreadsheets and assist the Accounting & Administration Manager with month-end (and year-end) closing and financial review. Report the status of accounts payable and receivable on a timely basis.
- Maintain the accuracy over the inventory costing and data in the system, including the input of inventory receipts and consumption and processing of completed inventory requisition forms.
- Assist with entry of employee timesheet data, ensuring accuracy and further investigating discrepancies or missing data.
What we need:
- Minimum 1-2 years experience as an Accounting Clerk or similar role
- 1 year experience in Accounts Payable is preferred
- Diploma or certificate in Finance or Accounting is an asset
- Must have knowledge of accounting standards for private sector organizations
- Experience in construction accounting is an asset
- Good knowledge of bookkeeping procedures
- Hands-on experience with QuickBooks accounting or equivalent software
- Advanced knowledge of Excel (using financial formulas and creating spreadsheets)
- Excellent data entry skills with an ability to identify numerical errors
- Excellent verbal and written communication abilities across all levels of an organization
- Excellent analytical capabilities and attention to detail
- Good organizational and time management skills
- Demonstrates business acumen
