Position Summary

Reporting to the Director, Planning & Engineering, the Admin Support 2 position is responsible for providing various administrative functions for the department. Other duties may be assigned upon occasion and the individual will be expected to provide support to other staff as needed.

Duties and Responsibilities

  • Provide general administrative duties including answering phones, greeting, and directing the public, handling inter-office mail, inputting data, completing purchase orders, filing, forwarding documents to the appropriate department or persons, recording and compiling minutes of meetings when required.
  • Provide support to all divisions located at the Operations Centre when required.
  • Respond to customer needs in a timely, professional, helpful, and courteous manner to strive to consistently meet service standards; follow up with customers during and after delivery of services to ensure that their needs have been met.
  • Assist in organizing events for the facility.
  • General booking, organizing, tidying, and stocking supplies.
  • Responsible for opening and closing process of the front entrance at the Operations Centre.

Qualifications

  • Completion of a post-secondary certificate in Office Administration or Business Administration from a recognized institution.
  • One year prior experience in an Administrative position or a related field.
  • Capable of working in computerized office environment, proficient in Microsoft Word and Excel with a strong attention to detail.
  • Self-motivated, with the ability to work independently as well as with a team environment.
  • Strong communication skills with the ability to converse both verbally and in written correspondence with the public, in a clear concise manner, while providing relevant information.
  • Must have effective phone and email etiquette.
  • Excellent problem-solving skills, with the ability to understand the customer's needs and direct them to the appropriate employee.
  • Be able to multitask, stay organized and meet deadlines while maintaining accuracy.
  • Must have strong time management skills to balance changing priorities.
  • Shows a team player attitude, creates a working environment conducive to team achievement, productivity and competence with colleagues.
  • Possess a high standard of confidentiality.
