Key Responsibilities
- Serve as the first point of contact for visitors, employees, vendors, and other stakeholders.
- Greet and direct visitors in a professional and welcoming manner.
- Answer, screen, and route incoming telephone calls.
- Receive and distribute incoming mail, courier deliveries, and shipments.
- Manage visitor access and maintain visitor records as required.
- Maintain reception, meeting rooms, and common areas to a professional standard.
- Monitor and manage general office email inboxes and inquiries.
- Schedule meetings and coordinate meeting logistics.
- Assist with onboarding activities, including preparing workstations, supplies, and welcome materials for new employees.
- Coordinate catering and logistics for meetings and office events.
- Support travel bookings and other administrative activities as required.
- Maintain electronic records, contact lists, and organizational information.
- Manage office, kitchen, and meeting room supply inventories and place orders as required.
- Coordinate with vendors, suppliers, and service providers to support office operations.
- Monitor office equipment and arrange maintenance or service calls as required.
- Process office-related purchase requests and invoices.
- Coordinate building maintenance requests and facility-related issues.
- Assist with workstation setup, office moves, and office organization.
- Perform data entry and maintain accurate electronic records and databases.
- Maintain confidentiality of sensitive business and employee information.
- Identify opportunities to improve administrative processes and office procedures.
- Assist with administrative projects and workplace initiatives as assigned.
Skills, Knowledge and ExpertiseEducation
- Post-secondary education in Office Administration, Business Administration, or a related field; or an equivalent combination of education and experience.
- Minimum 2 to 5 years of experience in a receptionist, administrative assistant, office administrator, or similar role.
- Experience supporting a professional office environment is considered an asset.
- Experience coordinating office services, supplies, vendors, or facilities is considered an asset.
- Excellent customer service, communication, and interpersonal skills.
- Ability to build positive and professional working relationships with employees, visitors, vendors, and stakeholders.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Sound judgment, professionalism, and discretion when handling sensitive and confidential information.
- High attention to detail and commitment to providing high-quality service.
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, Teams, and SharePoint.
- Ability to work independently while contributing as a member of a collaborative team.
