Mikkelsen-Coward is a multi-disciplinary contractor specializing in Mechanical, Electrical, and DDC Controls services. With a team of over 50 skilled technical tradespeople, we work closely with our clients to improve the comfort and performance of their facilities. We are currently seeking a Service Administrator to join our growing team of professionals dedicated to delivering innovative HVAC solutions.

In this role, you will be responsible for organizing, processing, and maintaining documentation related to maintenance agreements, while also providing administrative support to the Service Dispatch team as needed.

Key Responsibilities:

  • Maintain and manage reports related to service agreements and projects.
  • Perform general administrative tasks including filing, scanning, printing, binding, and photocopying.
  • Update and maintain documentation associated with agreements, projects, and customer records.
  • Open Service Orders and ensure all required details are included, such as Purchase Orders, Service Request forms, and scopes of work.
  • Provide backup support to Service Dispatchers when required, including responding to customer calls and coordinating technicians for maintenance agreements and projects.
  • Assist with scheduling Field Technicians.
  • Communicate work progress, customer requests, staffing concerns, and material requirements to the Service Manager, Project Supervisor, and General Manager.
  • Complete additional duties as assigned.

Qualifications and Skills:

  • 12 years of experience in an administrative position.
  • Proficiency with Microsoft Office programs, including Word and Excel.
  • Strong organizational, planning, and time-management skills with the ability to meet deadlines.
  • Positive attitude with strong interpersonal skills.
  • Excellent verbal and written communication abilities.
  • Ability to work independently with minimal supervision.

Preferred Assets:

  • Experience in a mechanical service office environment.
  • Familiarity with Jonas software.
  • Experience using NorthBoundary software.

  • Monday to Friday
