Job Responsibilities
Reporting to the Team Lead, Community Support Services, the Community Support Administrator provides exceptional customer service to our condominium corporations and suppliers while assisting the Community Managers with the day-to-day management of a condominium property portfolio.
The job duties listed are typical examples of the work performed by positions in this job classification. Not all duties assigned to every position are included, nor is it expected that all positions will be assigned every duty.- Partner closely with Community Managers to foster open communication regarding all activities related to their portfolios.
- Provide full administrative support within the community management team. For example, prepare professional correspondence, documents and invoices; prepare meeting agendas; filing and record keeping.
- Responding to requests within a timely manner.
- Other duties such as providing information updates, arranging couriers, applying fees and deposits, maintaining tracking lists, system updates.
- Able to handle a high volume of requests and work collaboratively with other internal departments.
- Practice and adhere to FirstService Residential Global Service Standards.
- Always conduct business with the highest standards of personal, professional, and ethical conduct.
- Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
- May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
- Ensure all safety precautions are followed while performing the work.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks and other related duties as assigned.
Education and Experience
- 2+ years' experience in an administrative role.
- Positive and energetic outlook.
- Strong interpersonal skills.
- Very detailed individual capable of managing several tasks.
- Proficiency in Microsoft Office and aptitude to learn new software programs.
- Prior knowledge of condominiums, property management or real estate would be an asset, but not required.
- Words Per Minute - 50+.
