Position Overview

We're looking for a highly organized, adaptable, and proactive administrator to join our growing electrical contracting team. This role is a key support position that connects office administration, field operations, safety compliance, HR support, payroll support, and general day-to-day business operations.

This position is ideal for someone who thrives in a fast-paced environment where priorities shift, job sites change, and no two days are the same.

Key Responsibilities

Operations & Office Support

  • Support daily office and field operations, communications, and accounting
  • Set up and maintain project folders and documentation
  • Organize meetings, training sessions, and company events
  • Assist with vendor and customer set up in Viewpoint Spectrum
  • Support billing documentation and statutory declarations
  • Help coordinate utilities, accommodations, and logistics for projects including company housing
  • Support fleet administration, ordering company decals, and insurance-related documentation.

Safety & Compliance

  • Maintain safety records and training documentation in BIStrainer an provide reporting as required
  • Ensure workers remain compliant across changing job sites
  • Prepare site-specific safety paperwork and documentation
  • Follow up on missing or incomplete safety records
  • Maintain and update safety manuals and revisions
  • Track and report near misses to the Health & Safety Committee
  • Support WCB claims, modified duties, and related documentation
  • Order PPE and safety supplies
  • Help improve safety systems and compliance processes over time

HR, Payroll & Workforce Coordination

  • Coordinate onboarding, orientations, and new hire setup
  • Set up employees in internal systems,Posting including Traqspera and Spectrum
  • Maintain confidential employee files and workforce records
  • Support benefits and RRSP administration
  • Assist with payroll administration, timesheet support, employee reimbursements, and employee updates
  • Assist with time-off requests and general HR support
  • Support recruitment activities including job postings, applicant coordination, and interview scheduling
  • Help employees with systems, onboarding, and general administrative support
  • Help coordinate workforce movement, accommodations, and scheduling between projects
  • Support fleet administration, decals, and insurance-related documentation

Systems & Process Improvement

  • Create and improve forms, templates, and process documentation
  • Identify workflow gaps and suggest process improvements
  • Help streamline onboarding, compliance, and workforce tracking systems
  • Support ongoing development of internal systems including Spectrum, Traqspera, BIStrainer, Microsoft Teams, Outlook, Excel, and Bluebeam

Qualifications

Required

  • Experience in operations, administration, HR support, safety coordination, or a related role
  • Strong organizational, multitasking, and communication skills
  • Comfortable working independently and managing competing priorities
  • Strong attention to detail and follow-through
  • Reliable, accountable, and professional
  • Proficient with Microsoft Office (Outlook, Excel, Teams)
  • Able to learn new systems quickly
  • Comfortable supporting both office staff and field crews

Preferred

  • Experience in construction, electrical, trades, or field service environments
  • Experience with safety compliance and workforce tracking
  • Familiarity with BIStrainer, Spectrum, or Traqspera
  • Understanding of WCB and modified work processes
  • Experience with AP/AR/Accounting or Payroll
