Job Details:
Our supply chain client in the Mississauga area is looking for a Logistics Assistant to join their team.
This role is hybrid and a contract to permanent opportunity, starting on an one month contract.
Pay rate: $20/hour.
Hours: Monday to Friday 8:30am-5:30pm.
Duties and Responsibilities
- Assist in resolving administrative issues, including ensuring spreadsheets are balanced by order to prevent missed revenue.
- Work closely with the reverse logistics team (returns) to monitor and respond to emails in a timely manner.
- Collect Bills of Lading (BOLs), Proof of Delivery (PODs), and other required documentation to support both the client and transportation team.
- Provide comprehensive administrative support to the Transportation management team.
- Track and trace orders to ensure successful and timely delivery.
- Assist with various tasks related to the above responsibilities, as assigned periodically.
- Support operations management by helping implement programs and policies that enhance efficiency, reduce costs, and improve the overall customer service experience.
- Maintain positive working relationships with service providers and internal stakeholders by responding promptly to inquiries and complaints.
- Serve as a liaison between service providers, customer service, warehouse teams, and the office, handling account administration and resolving service or operational issues, while escalating concerns to Operations management when necessary.
- Assist with the claims process, including the investigation and analysis of damages, processing claims intents, and working with hubs to prevent future claims.
- Maintain detailed spreadsheets tracking claims across hubs and manage the Carrier Claims process by notifying carriers.
- Update Airtable daily to reflect the current status of claims.
- Foster harmonious working relationships with internal team members.
- Perform other related tasks as needed.
Qualifications
- Diploma or degree in Business Administration, Logistics, or a related field preferred.
- Minimum 2-3 years of experience in administrative roles, preferably in logistics, transportation, or operations.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with Airtable and other transportation or logistics software is an asset.
- Strong verbal and written communication skills, with the ability to maintain positive relationships with stakeholders.
- Excellent organizational skills with a keen eye for detail in documentation, tracking, and managing claims processes.
- Ability to effectively investigate and resolve issues, escalating when necessary, and providing timely solutions.
- Demonstrated ability to work collaboratively with cross-functional teams, including reverse logistics, customer service, and warehouse operations.
- Flexibility to handle varied responsibilities and adapt to changing priorities as assigned by management.
- A strong dedication to improving the customer service experience and handling client-related inquiries with professionalism.
