About the Role
We are seeking a highly organized, professional, and compassionate Medical Secretary to support a busy orthopedic surgery practice. The ideal candidate will play a vital role in ensuring the smooth operation of both clinic and surgical schedules, while maintaining exceptional communication with patients, hospitals, and multidisciplinary teams.
Key Responsibilities
- Coordinate and manage the surgeon's daily schedule, including clinic appointments, consultations, and surgical bookings.
- Serve as the first point of contact for patients—welcoming them, answering calls, responding to inquiries, and providing assistance with professionalism and empathy.
- Communicate effectively with hospital staff, operating room booking clerks, and diagnostic imaging departments to arrange procedures and follow-up appointments.
- Prepare, organize, and manage medical charts, referral letters, and patient documentation (both electronic and paper-based).
- Schedule surgeries, confirm preoperative requirements, and follow up with patients regarding preparation and post-operative instructions.
- Maintain confidentiality and accuracy of patient information in compliance with privacy regulations (PHIPA).
- Support the surgeon in managing incoming correspondence, including emails, phone calls, and requests from other healthcare professionals.
- Help maintain an organized, welcoming, and efficient office environment.
Qualifications
- Minimum 2 years of experience in a medical office or hospital setting (preferred).
- Strong knowledge of medical terminology and familiarity with EMR systems (e.g., Accuro, EPIC, or similar).
- Excellent communication and interpersonal skills with patients and healthcare teams.
- Exceptional attention to detail, time management, and multitasking abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer literacy.
- Ability to handle confidential information with discretion and professionalism.
- Diploma or certificate in Medical Office Administration (or equivalent) preferred.
