Purpose and Scope:
The Project Manager (PM) role is to support the delivery of projects for municipal and private clients. In this role, you will assist with project planning, scheduling, client communication, and the coordination of field teams responsible for the installation, calibration, maintenance, data analysis, and reporting. The PM may also be asked to support or lead other projects as organizational needs evolve or other project types aligned with their experience and capabilities.
The PM is entrusted with the pivotal responsibility of guiding projects from conception through completion, ensuring they are delivered on time, within budget, and to the specified quality standards. This role encompasses a broad scope of duties, including planning project timelines and milestones, allocating resources, coordinating with project teams, and serving as the primary communication link between stakeholders and the project team.

2. Successful Project Delivery
- All projects are completed within the defined scope, schedule, and budget.
- Responsible for advising and supporting the project team and stakeholders from other departments.
- Monitor the progress of the projects and adjust as necessary to ensure the successful completion of the projects.
- Responsible for project delivery and ensuring quality assurance on project deliverables.
- Ensure client satisfaction and communication.
- Establish a communication schedule to update stakeholders including appropriate Civica staff on the progress of the department.
- Projects have minimized risks, or effectively managed and mitigated risks, issues, and obstacles.
- Projects align with Civicas strategic objectives and contribute to achieving its goals.
- Ensure full compliance with the project management and invoicing processes and procedures with theCorporate and Project Management Office (PMO) departments.
2. Project Planning, Scheduling, and Budgeting
- Accountable for accurate usage of the earned value spreadsheet, the subsequent resource and invoicing projections, as well as timely billing and A/R control as defined by Corporate.
- Accountable for the financial health and success of projects managed, maintaining project gross margins at or above the planned gross margin (including change orders).
- Ensuring that projects are executed in a cost-efficient manner.
- Effectively manage and mitigate financial risks, such as cost overruns or delayed payments.
- Ensuring that projects deliver good value for the investment made.

3. Client Relationships and Communication
- Build long-term relationships with clients, and strong relationships with key clients.
- Ensuring that clients are satisfied with project outcomes and the overall service that they receive.
- Regular communication with clients and stakeholders, understanding their needs and expectations, and addressing any concerns, issues, or conflicts promptly and effectively.
- Encouraging clients to become advocates for Civica, possible through referrals or positive reviews.
- Understand client needs and communicate these effectively to the project teams.
- With respect to internal (Civica) clients, internal client satisfaction and process-related compliance.
4. Business Development
- Do great work for current clients. Delivering consistent value over time is key to client retention and expansion. This includes continuously meeting and exceeding client expectations.
- Educate clients as a trusted advisor and influence client requests for proposals that are great fits for Civicas services toward our unique value propositions.
- Account expansion through upselling additional services, change orders, contract renewals, and seeking referrals to expand the client base.
- Provide support to Proposal Team as needed.
Requirements:
- Bachelors degree in Civil Engineering, Construction Management, or a related field
- P.Eng. designation or eligibility considered an asset
- PMP or other project management certification is an asset
- 37 years of project management experience in civil engineering, construction, or infrastructure projects (or adjust based on level)
- Proven experience managing schedules, budgets, contracts, and multi-disciplinary teams
- Strong understanding of PM processes, municipal standards, and relevant regulations
- Proficiency with project management software such as MS Project.
- Strong knowledge of health and safety requirements and risk management practices
- Excellent communication, leadership, and stakeholder management abilities
- Strong problem-solving and decision-making skills
- Ability to manage multiple projects and deadlines in a fast-paced environment
- High level of organization, attention to detail, and accountability
- Valid drivers license and reliable transportation for site visits
The incumbent must maintain confidentiality and standards of conduct, work well alone, under supervision, and under pressure, and be flexible and respectful.
Working Conditions:
The PM will work in both office and field environments, overseeing projects from planning through completion. Most duties are performed in an office setting however, regular site visits are required, which may involve exposure to various weather conditions and noise. The position is full-time, with occasional overtime to meet project deadlines or attend client meetings. Travel between project sites and client locations is expected. Strict adherence to health and safety standards, including the use of personal protective equipment (PPE) during site visits, is required.
