OPPORTUNITY:

HEABC has an opportunity for an Administrative Assistant on a 20-month contract for the Information Management/ Information Technology (IMIT) team. Reporting to the Chief Information Officer (CIO), the Administrative Assistant provides confidential administrative support functions to the CIO and IMIT leadership team (ITLT) by coordinating workflow for the assigned area, developing and implementing office processes and procedures, composing correspondence, formatting complex documents and arranging and attend meetings and take minutes. The Administrative Assistant will also reconcile and get approval for invoices, create spreadsheets for statistical and database purposes, set up and maintain files, prepare and maintain timekeeping records and expense tracking, and answer a variety of inquiries via telephone, email, and in person.

Responsibilities include:

  1. Coordinates information flow within the department by prioritizing and organizing documents to ensure that work, correspondence, and inquiries of a routine, urgent, or confidential nature are appropriately routed.
  2. Schedules appointments and meetings and ensures all necessary support documentation is available, and arrangements are complete. Prepares agendas and takes minutes at meetings for distribution and follows up on action items as required.
  3. Manages schedules and calendars for the CIO and ITLT by prioritizing and arranging appointments and travel and ensuring that schedules are manageable.
  4. Organizes financial information and reporting by collecting, verifying, and forwarding travel vouchers, expense claims, and invoices for processing.

Required Experience:

Minimum successful completion of grade twelve (12) plus successful completion of a recognized administrative program and five years recent, related experience or an equivalent combination of education, training and experience.

  • Demonstrated ability to communicate effectively and to deal with others effectively.
  • Proficient in a variety of applications including Word, Excel, PowerPoint, Visio, Outlook, and Internet- and intranet-based applications.
  • Demonstrated ability to function independently and organize work with minimal direction.
  • Demonstrated ability to deal effectively with all levels of the organization and people from outside the organization in a courteous, tactful, and diplomatic manner.

Salary Range: $48,476 to $63,624

Typical Hiring Range: $48,476 to $60,594

In determining salary, HEABC considers many factors including the successful candidates skillset and experience as well as internal equity. The final salary offer will be at HEABCs sole discretion and presented as part of a competitive total compensation package.
