We're growing!! And looking for a passionate, driven and energetic candidate to join our team for the position of Operations Administrator, Wealth Solutions located in Guelph, Ontario or Oakville, Ontario.
Job Description
We are searching for an organized, detail-oriented person with strong customer service skills to work closely with the entire Wealth Management team to provide client service support and accurate database management and document control for processing, recording and managing all investment-related paperwork and data requirements while supporting Skyline's shared goal of creating meaningful value and an exceptional experience for our customers, our people and our communities.
What you will be doing:
- Responsible for creating Financial Accounts, Holdings and certificate numbers for all purchases. (i.e. entering all data into the shareholder ledger and in FSC).
- Ensuring all trade details are accounted for and correct before entering the purchase into the system.
- Prepare Re-Registrations/Transfers Certificates and create Financial Accounts and enter on FSC.
- Manage and update account changes in a timely manner.
- Enter redemptions into FSC by closing all holdings and financial accounts accordingly on the parent and child account.
- Prepare and label blue folders for all new purchases – maintain quality control of files (contents).
- Assist the Relationship Managers in managing the ongoing workflow of investment-related paperwork, including but not limited to, gathering client files, preparing and revising any required investment-related paperwork such as subscription agreements, DRIP agreements, and FATCA forms.
- Administer file closed accounts and all corresponding documents in archives.
- Create purchase certificates for registered investments.
- Prepare and create Year End DRIP certificates as necessary.
- Enter, upload and cancel investment entries as necessary.
- An administrative wizard who has a good grasp of database management.
- Knowledge of exempt market investments and holistic financial planning.
- You love details and nothing falls through the cracks!

- Communication expert (emails, phone calls, etc.) with a focus on being professional and timely.
- Ability to multi-task while managing multiple projects effectively and a capacity for dealing with tight deadlines.
- Strong sense of confidentiality and integrity is a must.
- Experience with using CRMs or other customer focused software would be a plus!
- High School Diploma or equivalent required.
- Minimum one (1) year of experience in financial services customer service and administrative support.
- Completion of Investment Funds Institute of Canada (IFIC) or Canadian Securities Course (CSC) would be considered an asset.
