Role Summary
The Stock & Inventory Analyst is responsible for making sure inventory/stock levels are accurate across all selling and operational platforms (ERP, B2B app, ecommerce, rep platforms, and internal reports). This role owns the process of entering and monitoring purchase orders (POs), tracking inbound shipments, matching deliveries to POs, and reconciling any variances with the factory, warehouse, and accounting. The goal: the numbers in the system match the product in the building, and sales always has reliable inventory info.

Key Responsibilities

  • Inventory Accuracy
    • Maintain accurate stock levels across multiple platforms/systems.
    • Perform regular inventory checks and investigate discrepancies.
    • Coordinate with warehouse to confirm actual on-hand quantities vs system quantities.
    • Update item statuses (active, discontinued, backordered) based on supplier updates.
  • PO Management
    • Create, update, and maintain purchase orders in the system.
    • Track all open POs and ensure expected delivery dates are current.
    • Follow up with suppliers/factories on late or partial shipments.
    • Flag any cost, quantity, or item code mismatches.
  • Inbound & Delivery Tracking
    • Monitor incoming POs from confirmation to arrival.
    • Record ASNs/packing lists and ensure they match PO details.
    • Liaise with logistics/warehouse on arrivals and receiving.
    • Update ETA dates so sales team sees real timelines.
  • Reconciliation
    • Reconcile POs against supplier invoices and warehouse receipts.
    • Investigate and resolve quantity, price, or SKU discrepancies.
    • Work with accounting on credits for short shipments or discontinued items.
    • Maintain clear audit trails for changes.
  • Platform Alignment
    • Ensure inventory levels match across ERP, sales app, ecommerce, and internal reports.
    • Run and distribute stock/availability reports for sales.
    • Highlight low-stock, oversold, and high-velocity items.
  • Process Improvement & Reporting
    • Identify recurring errors (wrong units, wrong pack, wrong item loaded) and propose fixes.
    • Support item setup and item updates (COO, status, case pack).
    • Produce weekly “Open PO / Incoming Stock” reports for management and sales.
