Reception / Marketing Assistant, Toronto, ON

Our North York office is seeking an experienced and motivated Receptionist / Marketing Assistant to support our busy office environment.

The Receptionist / Marketing Assistant plays a crucial role in ensuring the smooth operation of various tasks and communications within the office. Responsibilities typically include assistance with office visitors, vendor communication, couriers, event planning, organizing the office and Marketing support.

Reception:

  • Greet and assist visitors, clients, and employees with a warm and professional demeanor
  • Manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence
  • Answer and direct phone calls, emails, and other correspondence efficiently
  • Coordinate and schedule meetings, appointments, and conference room bookings
  • Coordinate meeting & events – client events, presentation sessions, lunch n' learns
  • Assist with administrative tasks, including data entry, filing, and document preparation
  • Maintain a tidy and welcoming reception area

Marketing Assistant

  • Supports the Marketing team with various duties related to Marketing & Proposals
  • Open/Manage Job Numbers in CRM/ERP system
  • Update Proposal Tracking Daily, including Won/Loss in the CRM/ERP system
  • Assists with Marketing & Proposal document reviews
  • Assist with various administrative related proposal tasks
  • Support daily Request-For-Proposal (RFP) searches

Requirements

  • Minimum 2 years' experience as a receptionist with marketing-related skills, or similar role
  • Excellent time management skills, able to work on and deliver multiple deadlines
  • Excellent communication and organizational skills
  • Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.
  • Completion of a post-secondary program in Marketing is an asset
  • Strong project management skills
  • Attention to detail with a strong understanding of CRM/ERP systems.
  • In office 5 days a week required

Location: North-York/Toronto, ON (100% in-office 5 days)
