The Opportunity

As the Salesforce & Client Data Specialist, you will play an essential role in ensuring that Newcomer Connections team have the data, systems, and reports they need to serve newcomers effectively and meet funder requirements.

In this role, you will support the administration and day-to-day operations of our Salesforce CRM system and other client data systems. You will work closely with staff across the Newcomer Connections team to maintain accurate data, generate reports, support system users, and help us continuously improve how we capture and share the stories and outcomes of our work.

This is a full-time position based at the Saint John Regional Y. Hours will generally fall Monday to Friday, with some flexibility required to support program or reporting needs.

Responsibilities

Salesforce CRM Administration and User Support

  • Serve as the project lead for Salesforce CRM projects and related initiatives.
  • Assist the GM of Newcomer Connections in setting project timelines and deliverables.
  • Act as the primary liaison to external Salesforce teams and consultants.
  • Provide day-to-day end-user support for the CRM, ensuring staff can enter and access data effectively.
  • Create and manage user accounts, profiles, permissions, and groups.
  • Train and onboard new staff and provide refresher training for existing users.
  • Develop and maintain procedures that maximize CRM usability and data quality.
  • Troubleshoot system issues and coordinate solutions promptly.

Data Entry, Reporting, and System Maintenance

  • Support Newcomer Connections staff with timely, accurate client data entry in Salesforce, iCARE, and other required databases.
  • Complete bulk data imports/exports and ensure data integrity across systems.
  • Generate regular statistical reports for internal teams and external funders.
  • Develop and maintain dashboards, custom fields, workflows, validation rules, and flows.
  • Perform data clean-up, de-duplication, and ensure compliance with data privacy standards.
  • Assist managers with analytics, report design, and funder reporting.
  • Maintain client confidentiality and uphold organizational data protection policies.

Additional Responsibilities

  • Compile and submit monthly reports to the Manager, and Newcomer Support Services.
  • Complete monthly expense submissions as required.
  • Attend and actively participate in team meetings.
  • Represent the YMCA and Newcomer Connections professionally with partners, stakeholders, and community networks.
  • Support other administrative tasks or duties as assigned.

Skills and Qualifications

  • Bachelors degree, Community College diploma, or equivalent training from an accredited institution.
  • Minimum of 2 years of experience working in database administration, CRM support, or data reporting.
  • Salesforce CRM experience Required.
  • Knowledge of organizational database structures, schema design, and CRM system development.
  • Familiarity with data analytics and reporting tools.
  • Demonstrated ability to train, support, and troubleshoot for end users.
  • Strong organizational and time management skills, with keen attention to detail.
  • Excellent oral and written communication skills.
  • High level of discretion and sensitivity to the needs of newcomers and diverse communities.
  • Ability to build positive working relationships and collaborate across teams.
  • Proficiency with Microsoft Office 365 and general IT troubleshooting.
  • Ability to work flexible hours if needed to meet project deadlines.
  • Fluency in English required; additional language skills considered an asset.
