The Customer Liaison plays a pivotal role in supporting the New Home Sales and Marketing teams by streamlining internal operations, fostering strong relationships with internal realtor partners (IRPs), and ensuring smooth execution of the sales process. This position is central to enhancing the customer experience and supporting sales goals by responding to IRP inquiries, managing sales administration tasks, and ensuring process consistency across departments. The ideal candidate is detail-oriented, highly organized, responsive, and collaborative, with a proactive approach to communication and operations.
Key Responsibilities
IRP Relations & Sales Support
- Serve as the primary liaison for internal realtor partners (IRPs), responding to all basic sales-related inquiries including listings, availability, pricing, project timelines, and promotional materials.
- Provide day-to-day assistance to IRPs, ensuring consistent communication and resource support.
- Coordinate with Marketing to supply IRPs with up-to-date community maps, MLS listings, and marketing collateral.
- Organize and facilitate IRP sales meetings, training sessions, and information sessions to keep partners aligned with evolving sales strategies and offerings.
Sales Project Coordination
- Create Start Memos and Schedule Bs for new projects based on the sales strategy.
- Serve as the point of contact for adjustments to Schedule Bs from Design Production and Production teams.
- Communicate with Contract Admin regarding missing upgrades in BuildBase for sales accuracy.
Administrative Support & Reporting
- Generate weekly sales reports to track sales progress, pending deals, and ensure data accuracy.
- Provide general administrative support to the Sales and Marketing team, handling routine inquiries and organizing files.
Events Coordination
- Plan, coordinate, and support sales-related events and IRP meetings, ensuring seamless logistics and communication.
- Collaborate with Marketing and Community Teams to ensure events are aligned with branding and outreach strategies.
Community & Market Data Management
- Update community maps for internal sales use and developer sites.
- Track IRP listings on MLS and monitor market activity for sales planning.
- Gather and organize data from active communities to support sales planning and forecasting.
Sales Process Optimization
- Attend and contribute to weekly Starts and Pricing meetings, following up on key action items.
- Continuously assess opportunities to enhance internal workflows, reporting efficiency, and team communication tools.
- Contribute to initiatives aimed at increasing sales team effectiveness and IRP engagement through process improvement.
