Position Summary

We are seeking a reliable and detail-oriented Administrative Assistant / Financial Advisor Assistant to support our advisors and ensure the office runs smoothly. This is a full-time, on-site position based in downtown Edmonton, Alberta, ideal for someone who enjoys organization, client interaction, and contributing to a professional financial services team.

Key Responsibilities

  • Manage and coordinate the advisor's calendar and appointments

  • Prepare materials and documentation for client meetings

  • Answer and direct inbound and outbound phone calls in a courteous, professional manner

  • Maintain and update the CRM system (ACT) with client data and follow-ups

  • General office administration (filing, scanning, data entry, etc.)

  • Generate and prepare client reports

  • Communicate clearly and professionally with clients and team members via phone, email, and in-person

Typical Work Hours

Monday to Friday, 8:30 AM to 4:30 PM

Tools & Software

  • ACT CRM

  • Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint

  • General computer proficiency required

Qualifications

Required:

  • High school diploma or equivalent

  • Proficient with Microsoft Office, especially Outlook

  • Excellent written and verbal communication skills

  • Strong attention to detail and organizational skills

  • Client-focused and professional demeanor

Preferred:

  • Previous administrative or office experience

  • Background or familiarity with financial services is an asset

Compensation & Benefits

  • Salary: $35,000 – $38,000 annually

  • Summer hours (early Fridays)
