Job Overview

As a Production Manager, youll play a central role in ensuring the smooth, efficient operation of our animated TV show production. Collaborating closely with the Producer, department Supervisors, and the broader production team, youll oversee schedules, coordinate resources, and monitor progress across departments. Your blend of organization, leadership, and strong communication will help keep everything running on track - while supporting an environment where teams can do their best work.

Key Responsibilities

  • Collaborate with department Supervisors and the Producer to build and manage detailed production schedules.
  • Track progress across all departments (Layout, Modeling, Animation, Lighting, Compositing, Assets, etc.), using Flow and Shotgrid to flag delays and proactively resolve bottlenecks.
  • Monitor and manage team attendance, vacation requests, and studio hours in collaboration with Supervisors and HR.
  • Oversee time sheet collection, approval, and coding for all production staff, coordinating with Payroll to ensure accurate submissions.
  • Maintain up-to-date project tracking systems, updating statuses for episodes, shots, and milestones in Shotgrid.
  • Coordinate cross-departmental communication to ensure all teams are aligned on deadlines, notes, and production goals.
  • Identify risks to the schedule and suggest improvements to processes and workflows that improve clarity, efficiency, and delivery.
  • Prepare and distribute weekly progress reports to the Producer and Director, highlighting accomplishments, issues, and areas needing attention.
  • Serve as a key point of contact for the production team, helping to resolve issues and clarify expectations.
  • Alert the Producer if any artists are not meeting quotas, hours, or professional expectations.

Qualifications

  • 3-5+ years of experience in a production management or coordinator role, ideally within animation, VFX, or a similar creative pipeline.
  • Strong knowledge of production tracking tools (Shotgrid/Shotgun, Flow, or similar).
  • Exceptional scheduling and time-management abilities; able to juggle multiple moving parts under tight deadlines.
  • Clear communicator - confident working across departments and keeping teams informed.
  • Highly organized with a detail-oriented mindset and proactive approach to problem-solving.
  • Familiar with tools like Google Workspace (Docs, Sheets, Calendar).
  • Comfortable giving direction, taking initiative, and supporting production goals from a high level down to the day-to-day.

The wage range for this role reflects compensation across all of ICONs projects. The final salary will be determined based on the specific position, the current show assignment, and the applicants experience and portfolio. This range accounts for varying levels of experience and responsibilities.
