As the Service Coordinator and Purchaser, you will play a key role in supporting both administrative and operational functions across multiple departments. This hybrid position combines service coordination, quoting, and customer support with hands-on responsibilities such as purchasing, logistics, and warehouse support.

You will work closely with account managers, field technicians, and warehouse staff to ensure smooth operations, timely material procurement, and accurate service execution. Your day-to-day will include preparing quotes, tracking work orders, placing and receiving parts orders, coordinating planned maintenance contracts, and supporting various facilities tasks. This position requires strong organizational skills, a proactive mindset, and a willingness to roll up your sleeves when needed.

This is a full-time, onsite position supporting multiple operating companies under The Arcticom Group umbrella in Burnaby, BC.

Essential Functions

  • Prepare and submit quotes by gathering information and obtaining material pricing
  • Create and manage quoted work orders, order parts, and coordinate dispatch and follow-up
  • Manage material and parts procurement for field work, service jobs, and internal needs
  • Support shipping and receiving of materials with a focus on accuracy and timely communication
  • Safely operate warehouse equipment (forklifts, pallet jacks, etc.) to move and organize inventory
  • Coordinate part/tool deliveries to and from job sites as needed
  • Oversee implementation and tracking of Planned Maintenance contracts
  • Maintain company equipment, vehicles, and tools, ensuring they remain in good working condition
  • Assist with warehouse cleanliness, light landscaping, and removal of waste to local facilities
  • Provide backup coverage within the call flow department and assist with SOP and training documentation
  • Collaborate with the Service Manager on other tasks and initiatives as needed

Job Requirements - Minimum Qualifications

  • 2–5 years of experience in service coordination, purchasing, or warehouse operations
  • Forklift certification required
  • Valid driver's licence with a clean driving record
  • HVAC/R industry experience or familiarity is strongly preferred
  • Strong written and verbal communication skills
  • Highly organized and able to prioritize in a fast-paced environment
  • Comfortable working both in an office and warehouse setting
  • Self-motivated and team-oriented
  • High school diploma or equivalent

Physical Demands and Working Environment

Employee will work 37.5 hours per week. Work is performed in a standard office environment. Approximately 80% of duties performed are in a seated position. The employee must reach with hands and arms and talk and hear. Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.

Working Conditions

Extended work hours may be necessary during periods of addressing challenges or resolving issues.
