As the successful candidate reporting to the Supervisor, Corporate Services, you will provide support services to the Corporate Services Department which includes being customer service focused and providing exceptional customer service to staff, RDCO partners, and members of the public. This position will also support the department with the RDCO's Records Information Management and Privacy programs.
In your role, you will:
- Provide administrative support to Corporate Services including:
- Assists with the classification and destruction of public corporate records.
- Look up information and sections of bylaws, BC Building Code and the Local Government Act.
- Assists in scheduling and providing public notice in accordance to bylaws and applicable legislation.
- Track and process departmental invoices including cost centre and GL coding.
- At the direction of the Supervisor of Corporate Services post Corporate Service information to the staff intranet website and / or the RDCO website.
- Acts as the primary point of contact for the general RDCO telephone line, e-mail enquiries.
- Maintain and order office supplies for the KLO administrative building.
- Coordinate administration office equipment maintenance and services, i.e.: photocopier, folding machine.
- Maintain department contact lists.
- Maintain the master bylaw index list.
- Arrange and book travel for staff.
- Provide administrative support functions for meetings:
- Book and organize logistical requirements meetings.
- Create agendas and meeting packages.
- Work with internal technical support staff on meeting room audio-visual equipment, including regular pre-meeting tests.
- Take meeting minutes as requested.
The ideal candidate for this role has a diploma in Office Administration and 1 year of experience, ideally working in local government or legal setting. Local government knowledge is an asset. You must have excellent interpersonal, communication and problem-solving skills with proficiency in MS Office, and a strong attention to detail. You must be self motivated and be able to work both in a team as well as independently under minimal supervision.
This is CUPE Local 338, 13-month term position, ending on October 30, 2026, that has an hourly wage of $35.27 based on a 7-hour day. The schedule for this position is Monday to Friday, 8:00 am to 4:00 pm with a one-hour unpaid lunch. This position receives 15% in lieu of benefits.
