Overview:

We are seeking a highly organized and experienced Administrative Assistant with a minimum of 3 years' experience in both administrative and front desk roles. This role requires someone who excels at customer service, has outstanding attention to detail, and is technologically proficient. You will play a key role in ensuring smooth day-to-day operations and supporting both staff and client communications.

Key Responsibilities:
Client Communication & Front Desk Duties

• Respond promptly and professionally to member and prospect inquiries by phone and email.
• Manage incoming calls, voicemails, and in-person inquiries.
• Provide clear, timely updates to members regarding registrations, deadlines, closures, and upcoming programs.

Administrative Support

• Work closely with the Administrative Manager.
• Manage registrations and maintain accurate member records using our online system.
• Assist with scheduling, internal communications, and file management.

Digital Content & Marketing Support

• Update and maintain the organization's website and online platforms (WordPress knowledge is a strong asset).
• Support creation and editing of marketing materials, newsletters, and social media content.
• Ensure online content is accurate, on-brand, and free of duplication.

Qualifications & Skills:

• Minimum 3 years of administrative and/or front desk experience in a fast-paced, customer-facing environment.
• Exceptional verbal and written communication skills.
• Strong attention to detail and ability to spot and correct errors.
• Ability to manage multiple tasks, prioritize effectively, and meet tight deadlines.
• Proven ability to learn and navigate new software systems.
• Proficiency in Microsoft Office, email systems, and cloud-based tools.
• Comfortable working independently and collaborating with a team.
• Familiarity with WordPress or similar website editing tools is an asset.
• Experience supporting digital marketing or social media is a bonus.
