Job Summary
The Office Manager at Rock Country GM plays a crucial role in overseeing day-to-day administrative and operational functions to ensure the dealership runs smoothly and efficiently. This position involves managing a team of administrative staff, handling clerical duties, maintaining records, and ensuring compliance with policies and procedures. The Office Manager works closely with the leadership team to support sales, service, and finance departments, providing administrative support to meet organizational goals.
Job Responsibilities:
Oversee and manage office operations, including reception, mail handling, office supplies, and facilities maintenance.
Ensure effective communication across departments and act as a point of contact for administrative inquiries.
Supervise record-keeping for sales, service, and finance departments to ensure accuracy and compliance with dealership standards.
Oversee accounts payable and receivable processes, as well as payroll processing, in coordination with the accounting team.
Manage budgeting for office supplies and other overhead expenses, ensuring cost efficiency.
Supervise, train, and support administrative staff, including receptionists, clerks, and other office personnel.
Conduct regular performance evaluations and provide feedback and training opportunities.
Foster a positive, productive work environment and ensure alignment with dealership culture and values.
Ensure all administrative processes comply with regulatory and dealership standards, including documentation, reporting, and record retention.
Identify areas for process improvement and implement strategies to enhance workflow, efficiency, and customer service.
Maintain up-to-date knowledge of dealership policies and communicate any changes to relevant teams.
Act as a primary point of contact for customer inquiries and concerns, ensuring timely and professional responses.
Support the sales and service departments in enhancing the customer experience by coordinating efforts and addressing any administrative issues that arise.
Oversee the dealership's reception area to ensure a welcoming environment for customers and clients.
Continuous Learning & Improvement:

Ideal Requirements:
Bachelor's degree in Business Administration, Management, or a related field preferred; equivalent experience may be considered.
3+ years of office management or administrative experience, preferably within an automotive dealership or related industry.
Demonstrated experience managing a team and overseeing financial and operational processes.
Strong organizational, multitasking, and time-management skills.
Proficiency in Microsoft Office Suite and dealership management software (PBS) is preferred.
Excellent communication and interpersonal skills to interact with staff, customers, and management effectively.
Ability to handle confidential information with integrity and discretion.
