We are recruiting for a Scheduler responsible for the day-to-day scheduling of all Agency employees and making appropriate changes within the scheduling database in a timely manner. To maintain electronic work schedules for employees of the Agency, based on input from appropriate Supervisors/Managers/Directors. Develop posting for all programs based on needs and arrange for replacement staff. Review and approve all time off requests for Accommodation Services based on Collective Agreement, Employment Standards Act and identified location criteria. This position includes collaboration with People and Culture Department, Supervisors and Managers across the Agency.

Compensation Package:

  • Work up to 37.5 hours per week.
  • Minimum starting rate of pay is $33.83 per hour.
  • 11 paid statutory holidays.

Minimum requirements of these positions include:

  • Proven successful completion of University Degree or an acceptable equivalent diploma/degree program as determined by the employer.
  • Minimum of 4 years recent full-time work experience in People and Culture or Administration is required.
  • Demonstrated skills in inclusive leadership, including building relationships, problem solving and decision making, self-awareness, championing change and innovation
  • Demonstrated ability to navigate a scheduling system and accurately complete entries within the system
  • Ability to multi-task and attention to detail, organized with above average time management abilities
  • Demonstrated ability to work under pressure and respond effectively in emergencies
  • Excellent written and verbal communications skills
  • Understanding of The Council on Quality and Leadership, Personal Outcome Measures is an asset.

Duties and responsibilities (including, but not limited to):

  • Ensuring staffing levels are met through the appropriate scheduling of employees based on the needs of the program/department
  • Inputting changes to employees schedules daily ensuring accurate scheduling information is available to all employees in a timely manner
  • Ensuring scheduling information is accurate, approved and submitted on time for payroll processing
  • Replacing shifts including the discretionary authorizing of overtime according to the terms of the collective agreement. Providing overtime reports as requested
  • Making arrangements with temporary agencies to cover uncovered shifts
  • Maintaining a list of available, trained employees by location and maintaining contact information, knowledge of status, qualifications and availability, in collaboration with the Support and Services Supervisors
  • Approving time off requests, absences, shift changes, etc. as per collective agreements, standards of practice and procedures, Employment Standards Act and individual location criteria
  • Completing schedule postings and accurately allocate shifts within budgeted hours as per collective agreements, agency standards of practice and procedures, Occupational Health and Safety Act and Employment Standards Act
  • Supporting management in bargaining and grievance arbitration process
  • Maintaining complete and accurate documentation of scheduling information including communications, requests for time off, etc.
  • Monitoring and report on attendance trends by tracking and recording accurate data and share trends with Scheduling & Systems Administrator and Scheduling Support and Services Manager
  • Working in collaboration with and providing information as necessary to People and Culture department as it relates to attendance reporting, payroll, leaves etc.
  • Providing all pertinent information from employees to the appropriate position within the People and Culture Department
