The IT Coordinator provides essential administrative support to the Technology Department, reporting directly to the Technical Projects Manager with a dotted line to the Director of IT. This role focuses on internal IT operations, including managing purchase orders, vendor renewals, timesheet administration, and internal communications. The ideal candidate is detail-oriented, organized, and proactive in supporting the day-to-day administrative needs of the Technology Department.

In this role you will:

Procurement & Vendor Coordination

  • Create and manage Purchase Orders (POs) for IT hardware, software, and support services
  • Process invoices and coordinate with finance to ensure timely payments
  • Oversee software license and support contract renewals; track expiration dates and alert managers to upcoming deadlines
  • Liaise with vendors for quotes, renewals, and documentation

Timesheet & Attendance Management

  • Administer departmental and shared resource timesheets; review submissions and liaise with Payroll to resolve discrepancies
  • Monitor attendance records and coordinate staff time-off tracking in alignment with studio policies
  • Manage and approve timesheets for the Technology Department

Internal Coordination & Support

  • Respond to IT-related inquiries and requests, triage them appropriately, and track status through resolution
  • Provide administrative support to the Technical Projects Manager and Director of IT, including scheduling, documentation, and internal coordination
  • Maintain department records and assist with data gathering for reporting or audits

Need to have:

  • Strong organizational and time management skills, with excellent attention to detail
  • Proficiency in Google Workspace, Microsoft Office, and enterprise tools
  • Ability to multitask and manage recurring administrative processes independently
  • Strong communication and interpersonal skills, with a proactive and service-oriented mindset

Nice to have:

  • 2+ years of experience in an administrative or coordination role, ideally in an IT or technical setting
