ABOUT THE OPPORTUNITY
We're seeking an exceptional Executive Personal Assistant to support a dynamic, multi-venture entrepreneur with business interests spanning hospitality (Tim Hortons franchises), e-commerce, metals trading, and AI-driven business development. THE ROLE
As the Executive Personal Assistant, you'll serve as the critical link between the owner's vision and its execution across both business and personal domains. You'll collaborate with the General Manager, Operations Standards Coordinator, Executive Assistant, HR Manager, and Assistant Managers to ensure all priorities remain on track while maintaining the owner's carefully structured daily and weekly routines.
1. Strategic Calendar & Priority Management (25%)
- Design and maintain an integrated master calendar incorporating business meetings, investor calls, regulatory deadlines, and recurring personal commitments (language study, fitness sessions, personal development)
- Prepare concise, well-researched briefing materials before each engagement to maximize productivity
- Implement a robust action-item tracking system, ensuring critical deadlines are met and nothing falls through the cracks
- Anticipate scheduling conflicts and proactively propose solutions before they become issues
2. Business Operations Liaison (25%)
- Serve as the owner's representative with the HR Manager to monitor recruitment progress, onboarding timelines, and policy implementation without duplicating HR responsibilities
- Coordinate with location managers to collect and standardize weekly performance metrics across all business units
- Create streamlined business documents (contracts, agreements, proposals) formatted for efficient review and decision-making
- Facilitate communication between different business entities to ensure alignment with the owner's priorities
3. Strategic Research & Business Intelligence (20%)
- Deliver daily cryptocurrency market updates (11 AM local time) with focus on Bitcoin, Ethereum, Monero, Polkadot, Render, and Fetch.ai
- Monitor emerging technologies and market trends in AI, renewable energy, drone technology, and advanced manufacturing
- Prepare executive summaries highlighting strategic opportunities and competitive insights
- Develop and maintain visual project timelines using Google Sheets or similar tools to track progress across initiatives
4. Financial Administration & Asset Management (15%)
- Maintain detailed records of precious metals transactions and related market pricing in CAD
- Compile comprehensive monthly expense reports across all business entities
- Manage vendor relationships, subscription renewals, and payment schedules
- Identify cost optimization opportunities and flag financial anomalies to appropriate stakeholders
5. Performance & Lifestyle Optimization (15%)
- Coordinate the owner's structured fitness regimen, including scheduling 30-minute Olympic lift and Tabata sessions
- Manage inventory and reordering of performance supplements and wellness products
- Facilitate horticultural projects by tracking growth cycles, ordering supplies, and scheduling key activities
- Support language study and personal development initiatives by organizing resources and tracking progress
QUALIFICATIONS
Required Experience & Skills:
- 2+ years of administrative experience supporting executives or business owners
- Demonstrated experience coordinating multiple priorities in a fast-paced environment
- Proficiency with Google Workspace, Slack, and project management tools (Trello, Asana, or equivalent)
- Strong financial acumen with understanding of Canadian bookkeeping principles
- Exceptional written and verbal communication skills
- Ability to create professional business documents and executive summaries
- Experience handling confidential information with absolute discretion
Education
- Post-secondary diploma/degree in Business Administration, Office Management, or related field
- Equivalent combination of education and relevant experience will be considered
