There are 2 Full-Time contract Student Records Clerk positions available starting on July 28, 2025, and ending on August 29, 2025, working 37.5 hours per week.

Your Role:

Under the direction of the Executive Assistant to the CEO/Accreditation Project Manager, this position assists with reviewing, scanning, cataloging, and saving historical files for the agency. Working within a small team, this role takes a coordinated approach to navigating a variety of file types (e.g., financial and corporate records) and systematically organizing and digitizing hard copy documents. This role will occasionally be responsible for providing back-up reception coverage and performing other general administrative duties. Works in alignment with the agencys commitment to equity and upholds the agencys values of belonging for all.

Tasks:

Administration:

  • Assists with the agencys project of transitioning historical agency records and other documents to a paperless system.
  • Handles large volumes of hard copy documents to review, scan, catalogue, and systematically save for ease of digital recall.
  • Applies a coordinated approach to navigating a range of file and document types (e.g., financial and corporate records) and systematically organizes, scans, and saves electronically.
  • Ensures consistent electronic file naming practices.
  • Works collaboratively within a small team to achieve project goals and meet established project timelines.
    Tracks and reports on electronic filing progress.
  • Updates and maintains electronic filing systems under the direction of supervisor.
    Handles sensitive information (hard copy and electronic) and adheres to privacy and confidentiality policies and procedures.
  • Provides occasional back-up reception support by responding to telephone inquiries, receiving and directing visitors as required, and warmly greeting and responding to clients.
  • Performs other general administrative duties as assigned.

Your Talents and Experience:

Excellent organizational skills. Excel in maintaining keen attention to detail while handling large volumes of documentation and working to meet project timelines. Ability to work with minimal supervision, as well as work collaboratively within a small team environment. Ability to prioritize, meet deadlines, and track and report on project progress is essential. Excellent oral and written communication skills with ability to navigate technical language and a range of file types, including financial and corporate records. Ability to sensitively handle a variety of hard copy and electronic organizational documents ensuring privacy and confidentiality. Proficiency in Word, Excel, Access, PowerPoint, and Internet skills. Knowledge of and ability to use a variety of office equipment, including scanners and photocopiers. This role involves the filing and storage of file storage boxes containing approximately 35 lbs. of files. Knowledge of safe lifting techniques is an asset. Dedicated to providing exemplary customer service. This position operates at a site that is not on a bus route. Reliable transportation is required.
