POSITION OVERVIEW:

Reporting to the Human Resources Manager the Receptionist/Time & Attendance Assistant is responsible for maintaining the integrity of time and attendance data used for payroll processing within the Costpoint system. This role provides front-line support for daily time and attendance transactions, investigates and resolves related issues, and responds to inquiries from employees and management. As the Receptionist, you will be the first point of contact for the organization — greeting guests, managing the front desk, and assisting with basic administrative tasks to support daily operations. This position is an 18-Month Contract (Maternity Leave Coverage) and works Day Shift: 8:00 AM - 3:30 PM.

KEY RESPONSIBILITIES:

Coordinate, review, and correct timesheet data for hourly and salaried employees, ensuring compliance with policies, time rules, and shift premiums

Analyze and apply time-off entitlements accurately for vacation, sick time, bereavement, jury duty, unpaid leaves, Workers' Compensation, STD, and LTD

Prepare and assist with reports, reconciliations, compliance monitoring, vacation balances, and key time and attendance metrics

Research and respond to inquiries regarding time and attendance from employees, supervisors, managers, and Payroll

Assist in the development, testing, implementation, and improvement of time and attendance systems, forms, and processes

Monitor absence codes weekly, report excessive balances to HR and department managers, and assist supervisors with disciplinary tracking

Develop and maintain documentation for time and attendance procedures

Act as Receptionist, greeting visitors, handling mail, and providing general administrative support

Perform other duties as assigned, including supporting the Time and Attendance Assistant role as needed

SKILLS:

Payroll Compliance Practitioner (PCP) designation considered an asset

Minimum five years of progressive experience in time and attendance processing, scheduling, or related payroll activities

Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Experience supporting an organization with 300+ employees; Costpoint system experience considered an asset

Strong knowledge of hourly and salaried payroll terminology

Ability to identify, investigate, and resolve issues effectively under tight deadlines

Skilled in interpreting and applying policies, procedures, and legislative requirements

Excellent verbal and written communication skills with both internal and external stakeholders

Strong organizational skills with the ability to work independently and maintain sustained attention to detail

Proven ability to build and maintain effective working relationships
