The Purchasing Administrator manages purchase orders, inventory tracking, and data reconciliation and maintains accurate and up to date records in the ERP system to ensure smooth operations. This role facilitates clear communication and the efficient flow of all electronic requests between the Supply Chain department and the various divisions it supports.
Your contributions to the team include:
- Inventory Management:
- Schedule and conduct regular inventory counts across all the sites.
- Maintain accurate inventory data, resolve discrepancies.
- Analyze inventory variances such as miscounts or lost items to determine root
- causes and make quantity adjustments, contributing to cost savings.
- Ensure Yardi inventory database is up to date with new items codes, pricing,
- inventory locations, min/max, on hand items quantities.
- Provide aged inventory reports to Facilities and perform routine system clean-up to
- remove obsolete or inactive items.
- Approve and update system min/max requests based on usage data to maintain
- optimal stock levels across sites.
- Investigate and resolve all inventory system transaction issues reported by
- operations and facilities.
- Purchase Order/Purchase Requisitions Management:
- Process PO/PR requests, verify product availability, and source alternatives when
- necessary.
- Create and distribute PO/PRs, ensuring timely delivery and stock availability.
- Monitor and track orders, follow up on outstanding purchases, and address
- supplier-related issues as needed.
- Collaborate with Accounting to support invoice matching and PO closure.
- Create and distribute accurate Inventory reports for Finance, management, and end
- users.
- Conduct in-depth analysis of inventory and procurement processes to identify
- inefficiencies and propose strategic improvements.
- Procurement Support:
- Assist departments with procurement needs, ensuring timely responses and order
- fulfillment.
- Maintain and administer Staples accounts, including user setup and ongoing
- maintenance.
- Manage goods entry and remotely oversee material receiving in the ERP system.
- Track materials in transit and coordinate timely delivery to sites.
- Resolve issues between vendors and internal departments related to order
- discrepancies, damaged or missing goods, and procurement procedures.
What you need to be successful:
- Minimum two years' experience in an administrative role
- Excellent Microsoft Excel skills
- Building design reading skills
- Knowledge of purchasing processes an asset
- Ability to effectively communicate both verbally and in writing
- Experience using enterprise resource planning (ERP) software
- Proficiency with Microsoft Excel
- Strong problem identification and problem resolution skills
- Ability to build and maintain professional relationships with departments, key business partners,
and vendor
