The Business Administrator is responsible for assisting the Manager with financial, administrative and IT support duties relating to the smooth operation of the YWCA Shelters and the Transition and Housing Support Program associated with those shelters. They work within a collaborative team to provide meaningful and relevant services within a theoretical feminist framework that includes a working knowledge of the dynamics and effects of trauma and oppression.
ABOUT YWCA TORONTO – 1ST STOP WOODLAWN
1st Stop Woodlawn Shelter, funded by the City of Toronto, provides 62 shelter beds to women and gender diverse people including 28 beds for individuals 16 years of age and older, who are in need of shelter or fleeing violence. This includes Second Stage Supportive Housing for participants not ready for independent living. The Housing program provides advocacy referral and support to participants in the shelter and to those who have moved into the community. The Transitional Support program provides aftercare to participants and their children through group work, counselling and connecting women and gender diverse people to supports.
KEY RESPONSIBILITIES
  • Inputs and exports revenue and expenses for financial statements to the Finance and IT Department;
  • Tabulates billing requests to outside agencies and monitors payments;
  • Prepares invoices for payable and receivable accounts;
  • Distributes, monitors and reconciles petty cash, personal needs allowances, TTC and other monetary accounts;
  • Maintains, records, and compiles program statistics and prepares reports and correspondence;
  • Brings any issues requiring policy decisions to the attention of the Manager;
  • Co-ordinates maintenance of equipment and furniture;
  • In consultation with the Property Services Department, assists the Manager in ensuring that the shelter meets health, fire, safety and building regulations;
  • Co-ordinates maintenance tasks with the Property Services Department;
  • Organizes and oversees systems that support the shelter team in smooth administrative functioning of the shelter;
  • Ensures first aid kits are stocked and in compliance with Health and Safety legislation;
  • Monitors the distribution of resident supplies, toiletries and bedding;
  • Assists with other duties as required, enhancing the smooth and efficient operation of the shelter and kitchen program;
  • Provides crisis intervention and facilitates conflict resolution when required.

QUALIFICATIONS
  • In-depth knowledge of commerce, business administration, accounting or office management which is normally acquired through completion of a community college diploma (Cases for Equivalency will be considered);
  • 1-3 years directly related experience in business coordination, including experience in a social service setting;
  • Demonstrated knowledge and experience in general accounting practices essential;
  • Excellent computer skills, word processing, and experience with database software, office and accounting programs (i.e. Word, Excel, Power Point, GP Dynamics accounting software);
  • Knowledge of office equipment and ability to troubleshoot and fix problems;
  • Excellent oral and written communication skills and experience in report writing;
  • Excellent organizational skills;
  • Experience working in a multi-service, multi-tasked environment required;
  • Ability to maintain a positive approach and a professional manner at all times;
  • Demonstrated knowledge and understanding of issues facing women such as a mental health challenges, homelessness and violence within a trauma framework;
  • Ability to interact with a diverse community of gender diverse individuals and women within shelter and housing environments;
  • Demonstrated experience in working under pressure and remaining calm in a crisis;
  • Demonstrated crisis intervention and conflict mediation skills.
