Successful candidates must have a Police Vulnerable Sector Check completed in the last six months. Interested applicants who reside in the City of London and are in need of a Police Vulnerable Sector Check (PVSC) are encouraged to apply for one as soon as possible as PVSCs in the City of London are currently taking approximately 3 weeks to be processed and offers of employment cannot be made without receipt of a PVSC.


WHAT WE'RE OFFERING:

  • What you'll be making - Starting rate for this role is $22.50 per hour (Level 1 of the Program Support II Grid);
    • Successful external applicants will start at Level 1, with grid progression based on seniority up to Level 8, $29.08 per hour
    • Internal applicants will be placed on the grid based on their seniority
  • When you'll work - 70 hours over two-week period; Monday to Friday, 8:30am-4:30pm; occasionally may be required to work outside of those hours
  • What your benefits will be - After a 90 day waiting period, will be enrolled in extended health care benefits
  • Your pension plan – Immediate enrolment in the Healthcare of Ontario Pension Plan (HOOPP)


HOW YOU WILL BE MAKING A DIFFERENCE:

  • Prepare program descriptions and designs promotional materials; coordinates with the Communications team for social media posting.
  • Coordinate booking of physical space for programs, or set up virtual training links as needed.
  • Supports program registration by inputting programs into WordPress, maintaining accurate rosters, ensuring timely updates and monitoring registration deadlines.
  • Assists with written reports and proposals with regard to the Community Programs, including the expansion and/or modification of services, and to meet documentation and reporting requirements of funding and accreditation bodies
  • Provide technical support to program facilitators
  • Maintain and support program resources through LearnWorlds, Google Drive, etc.
  • Assist with interviewing and recruitment of volunteers and Thrive Institute Ambassadors; provide trainings and orientation for new volunteers and Ambassadors, including preparing materials and documenting/tracking completion.
  • Assists Manager to ensure program coverage as needed for planned and unplanned employee absences
  • Provides support to Peer Support roles
  • Personally support meeting and program facilitation coverage as needed.
  • Coordinate and support public events, when needed
  • Maintain program surveys
  • In collaboration with the Manager assists in the development of site orientation programs for new staff, including materials to be covered, method of presentation, and supporting employees to complete all site orientation training
  • Provides site orientations to new employees and ensures that training requirements are completed for new employees
  • Works with the Human Resources team to update, maintain, and ensure annual training requirements are completed by all employees in a timely manner
  • Assist in onboarding, mentoring, and supporting staff, including technical help with office tools and systems (e.g. MS Office & 365 programs, Zoom, Wordpress, LearnWorlds, Smartsheet, MS Forms)
  • Ensure that employee documentation, training logs, and health & safety supplies are updated and accessible across locations
  • Coordinate with Managers and Health & Safety staff to maintain compliance with legal and accreditation requirements
  • Monitor and respond to the general team email inboxes to ensure timely responses; reroute to appropriate staff members as appropriate
  • Prepare and maintain shift schedules, as needed; coordinate coverage for last-minute shift cancellations and support Managers in identifying and addressing program coverage needs due to planned/unplanned staff absences
  • Process bi-weekly payroll

  • Gather and prepare program statistics, as required


WHAT YOU'LL NEED TO APPLY:

We require the following qualifications:

  • Post-secondary education or equivalent work experience (Primary proof of credentials will be required during the hiring process, i.e. original degree/diploma/certificate or official transcript)
  • Valid driver's license and access to a vehicle to carry out job duties
  • Ability to attend work regularly

We prefer the following qualifications:

  • Superior oral and written communication skills
  • Extensive working knowledge of MS Office Professional and strong computer skills
  • Self-starter work ethic
  • Able to prioritize
  • Able to work independently
  • Able to liaise with other departments, staff and committees
  • Experience in not-for profit agencies
  • Knowledge of mental illness, addiction, and co-occurring complex issues
