About the Role:
We are seeking a highly organized and detail-oriented Service Department Administrator to join our dynamic team. This role is essential to the smooth operation of our service department, providing administrative support, coordinating data and service activities, and ensuring excellent customer experiences. Key Responsibilities:
- Gather, organize, and manage large volumes of service data with accuracy and efficiency
- Maintain and update service records, databases, reports, and documentation
- Create and manage spreadsheets, service logs, and tracking tools using Microsoft Excel (advanced skills required)
- Prepare and distribute reports, invoices, and service documentation as needed
- Support the Service Department with scheduling, work order tracking, and customer communications
- Respond to customer inquiries and service requests via phone and email with professionalism and urgency
- Coordinate with internal departments and vendors to ensure timely resolution of service issues
- Monitor inventory levels for service-related supplies and assist with ordering
- Continuously look for opportunities to improve service operations and workflow
Required Skills & Qualifications:
- Proven experience in an administrative, customer service, or service coordination role
- Advanced Excel skills, including formulas, pivot tables, data analysis, and report generation
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams, SharePoint)
- Exceptional attention to detail and organizational skills
- Strong written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Professional, friendly, and customer-focused demeanor
- Experience working with service scheduling or asset management software is an asset
Preferred Qualifications:
- Knowledge of or experience in a service or technical industry
- Familiarity with cloud-based software and systems
- Experience supporting a service or technical team
