The RoleWe are seeking a detail-oriented, proactive, and organized Crew Scheduler and Operations Coordinator to join our dynamic operations team. This dual role position, reporting to the Director of Flight Operations, is vital to ensure the seamless execution of crew scheduling, day-to-day flight operations, and administration of the flight operations office. The successful candidate will manage crew rosters in compliance with regulatory requirements, coordinate operational logistics, and provide critical support to ensure flight operations continues in a safe, efficient and compliant manor. As a crucial member of our team, you will play a pivotal role in our continued success and reputation in the industry.
Responsibilities:
Crew Scheduling:
- Develop, maintain, and adjust crew schedules to ensure optimal staffing and compliance with the regulations and company policies (e.g., Transport Canada, FAA, EASA flight and duty time limitations).
- Monitor real-time crew legality and availability, responding to delays, cancellations, sick calls, and other disruptions.
- Coordinate crew swaps, reassignments, and reserve crew activation.
- Communicate schedule changes and updates promptly to crew members and stakeholders.
- Maintain accurate records of crew schedules, duty times, and rest periods.
- Verify flight times against crew reported flight times to ensure accuracy.
- Collaborate with training and HR departments to schedule recurrent training, onboarding and vacation.
Operations Coordination:
- Serve as a key liaison between flight crews, dispatch, maintenance, and flight operations departments on operational matters.
- Work independently or on a team on Flight Operations projects as they come up.
- Support with operations audits and corrective action plans.
- Maintain CTA tariff manuals for submission as required.
- Assist with policy development and documentation within our suite of manuals.
- Assist with delay management, and irregular operations (IROPs) response.
- Coordinate logistical support for crew positioning travel when needed.
- Prepare and distribute operational summaries and reports.
- Support compliance with safety, security, and regulatory standards across operations.
- Any other duties assigned by the Director of Flight Operations.
- Foster a collaborative environment by actively participating in team discussions, making collective decisions, and supporting colleagues to ensure no one is left behind.
- Promote open communication by sharing information, feedback, and ideas willingly and frequently to enhance team synergy and client satisfaction.

Your Experience
- Minimum 2 years of experience in crew scheduling, airline operations, or a related aviation environment.
- Strong knowledge of aviation duty time regulations (e.g., CARs, FARs, EASA, etc.).
- Proficient in scheduling and operations software (e.g., FOS, Flight Bridge, AIMS, Sabre, Jeppesen, or similar systems).
- Excellent communication, interpersonal and organizational skills with the ability to work under pressure.
- Strong written and verbal communications skills.
- Strong ability to use Microsoft products (Word, Excel, PowerPoint, Outlook, OneDrive).
- Ability to manage projects independently, while engaging other departments and teams.
- Availability to work rotating shifts, including weekends and holidays.
Preferred Experience:
- Diploma or degree in Aviation Management, Transportation Logistics, or a related field.
- Previous experience with dispatch, operations control center (OCC), or crew resource planning.
