POSITION PURPOSE:
The Coordinator, Operations Support – Technical Services reporting to the Manager, Technical Services is responsible to support day-to-day operational activities in the TPA's On-Street portfolio by driving continuous improvement efforts, supporting the planning, execution and delivery of critical operational activities, supporting the coordination of various cash handling and processing functions by leveraging key performance indicators, changing operational trends and best in class practices with multiple stakeholders to deliver an effective and efficient operation.
MAJOR RESPONSIBILITES:
  • Coordinate various activities of the On-Street portfolio to ensure the efficient delivery of operations including but not limited to the planning, organizing and assigning of functions required to support parking equipment, technology and cash management.
  • Track and measure the performance of service from contractors, service providers and other stakeholders relating to on-street parking operations through the use of KPIs and other metrics; recommend and support implementing changes to drive improved service delivery.
  • Create, update and maintain various data and inventory records in the TPA's GPS/AVL/SAP and other Asset Management Systems.
  • Develop and maintain operational instruction manuals, Standard Operating Procedures (SOPs) and business processes including but not limited to the mapping of all parking and meter rate profiles.
  • Create, submit and actively monitor work orders required to support any and all functions of parking operations to ensure the efficient delivery of services required to meet business needs.
  • Coordinate and conduct as required the replenishment and collection of revenue from parking equipment, ensuring that an appropriate level of revenue is maintained at all times, ensuring accuracy of financial information reported to finance and auditing recommendations.
  • Where discrepancies are found, coordinate with stakeholders to reconcile revenue by performing investigations and or audits, quantifying results and determining corrective actions.
  • Identify areas of loss prevention, risk mitigation, and operations efficiencies that may help the business.
  • Liaise with other departments by coordinating adherence to corporate policies, customer service protocols, and safety standards, report maintenance issues and potential claims.
  • Generate custom reports on a regular and ad hoc basis, relating to the performance of On-Street portfolio including but not limited to revenue, transactions, distinct parking configurations, transactions; draw insights and make recommendations based on these reports.
  • Provide project management support in the development of new programs by actively participating in the implementation of all On-Street parking-related initiatives, providing an Operations perspective, preparing project plans and documentation, and implementing roll-out.
  • Conduct field investigations, audits of parking equipment, prepare reports, etc.
  • Coordinate with City of Toronto Stakeholders, in response to request for the installation, relocation and removal of parking equipment or technology including issuance of internal and external work instructions and selecting and marking locations in the field for the installation of parking equipment or technology.
  • Conduct operational reviews and assessments of the TPA's business processes related to the various facets of parking operations and recommend continuous improvement measures to ensure efficiencies in the TPA's work flows and use its resources.
  • Support departmental projects and programs by reviewing current strategies and processes, undertaking research on best practices, performing qualitative and quantitative analysis, providing recommendations, collect, and interpret data and identify and assess the pros and cons of possible strategies for implementation.
  • Support parking equipment updates, creation of work orders, monitoring of implementation and quality assurance testing.
  • Liaise with internal stakeholders including Parking Development, Growth & Strategy, SOC, Bike Share and other relevant teams to coordinate initiatives and ensure seamless communication.
  • Support departmental procurement activities in SAP, including requisition entry, tracking and goods receipt processing.
  • Coordinate and document weekly inspections of Electronic Vehicle equipment, ensuring timely completion and data entry in SAP.
  • Perform site assessments and prepare locations for the installation of new parking machines and expansion of new locations.
  • Interpret municipal bylaws and council directives to ensure operational adjustments align with regulatory changes affecting On-Street inventory.
  • Maintain the accuracy of inventory within SenSen digital mapping system to support operational planning and reporting.
  • Complete other duties as assigned.

QUALIFICATIONS, EDUCATION & EXPERIENCE:
  • Post-secondary school diploma or degree or combination of education, training and/or experience in the transportation industry, operations, customer service or equivalent experience.
  • Minimum 3 years related experience.
  • Proficiency using all Microsoft Office applications, with ability to acquire knowledge of SAP.
  • Previous experience using SAP considered an asset.
  • Knowledge of City of Toronto Municipal Code, relevant by-laws and regulations related to On-Street parking would be considered an asset.
  • Knowledge of project management process with a continuous improvement mindset.
  • Must possess a valid Class “G” Driver's License for the Province of Ontario.

SKILLS:
  • Ability to acquire knowledge of the Toronto Parking Authority's On-Street programs and business activities, in order to help obtain, identify and analyze and validate operational performance issues including identify trends and issues.
  • Ability to respond to organizational needs by producing reports with factual information based on specified requirements.
  • Superior attention to detail, taking pride in accuracy.
  • Self-starter and independent. Team-oriented and results-driven.
  • Demonstrated complex problems solving skills.
  • Ability to maintain confidentiality, be tactful in all dealings, be self-motivated and work effectively alone or in a team.
  • Purchasing, payables, and tendering process knowledge.
  • Proven customer service orientation with effective communication skills (verbal and written).
  • Excellent time management and organization skills, with the demonstrable ability to multitask while working in a fast-paced, dynamic environment.
  • Internal candidates: Employees must have at least one (1) year of continuous service in their current role to be eligible for application.

WORKING CONDITIONS:
  • Combination of office environment with frequent travel to Authority's facilities and the On-Street parking portfolio across the City of Toronto.
  • Occasional lifting required.
