Your role:

As an Admin Coordinator at our accounting firm, you will play a key role supporting the daily operations of the firm by coordinating a team of administrative professionals. This position will ensure efficient administrative processes, high-quality internal client service, and the smooth functioning of day-to-day office activities. You will be working closely with the Operations Manager, Partners, Managers, and administrative team, you will be responsible for workflow coordination, quality control, and fostering a collaborative team environment. Responsibilities include:

  • Monitoring daily tasks of administrative team, ensuring their work is completed accurately and on time.
  • Managing workflow for document preparation, formatting, and assembly of client deliverables (e.g., financial statements, tax returns, etc.).
  • Ensuring consistency and adherence to firm templates and brand standards.
  • Coordinate administrative team in-office schedules.
  • Providing coaching and training to administrative staff.
  • Identifyingopportunities to improve administrative procedures and increase efficiency.
  • Supporting implementation of new tools, technologies, or procedures affecting administrative operations.
  • Serving as a liaison between administrative staff and Operations Manager/firm leadership to ensure alignment and responsiveness to business needs.
  • Coordinating with HR, IT, and Facilities on administrative requirements.
  • Collaborating with Executive Assistants to support end-of-month and T1 filing deadlines
  • Perform data audits and analysis using Power BI reports to ensure accuracy and compliance with internal processesAssist with special projects and overflow work as needed.

What you bring to the table:

  • 3+ years of experience in an administrative or office coordination role, preferably in a professional services or accounting firm environment.
  • 12 years of advanced administration or team lead experience.
  • Strong organizational, time management, and multitasking abilities.
  • Excellent communication skills and a service-oriented mindset.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with document management systems, client relationship tools and tax preparation software (e.g., CaseWare, DocuSign, SharePoint) is an asset.

Where you'll work: Either Lindsay or Peterborough with travel on an as needed basis between these 2 offices. Mileage will be paid for interoffice travel.
