ROLE OVERVIEW
Thiess is seeking a detail-oriented project administrator who can direct and monitor projects and support our mining team in Sudbury, Canada. This role reports directly to the Project Manager.
KEY RESPONSIBILITIES
- Coordinate and arrange meetings, manages schedules, prepares agendas, and reserve and prepare facilities
- Provide administrative support to all departments and internal stakeholders as needed
- Coordinate and lead the specialized project administrative support to Mine Site Project Team(s) and assist Project Home Office Team
- Prepare presentations, reports, letters and routine correspondence
- Manage the site elements, including liaising with Project Manager as necessary
- Processing of invoices and purchase orders
- Prepare and manage a weekly progress meeting and minute process. Support Project Management, Supervisors and others with meeting organization, minute taking, issuance, endorsement, and recording
- Manage office material supply orders and organization/security of stocked items
- Oversee the maintenance and alteration of office areas and equipment, as well as layout, arrangement, and housekeeping of office facilities
- Support troubleshooting and coordinating of repairs/supplies through IT department for training laptops and various resources for employees
- Support Vale pass office communications (lenel card) as well as coordinate Vale training module registration
- Update email distribution lists as needed
- Support onboarding tasks ie. Thiess Backpack preparation and welcome swag, imaging of laptops, etc
- Assigning of lockers for Thiess paid employees
- Support the administration of uniform program for Thiess paid employees through third party supplier
- Performs other related duties as assigned
DESIREABLE SKILLS
- Good oral and written communication skills
- High level of attention to detail and excellent follow-up skills
- Solid understanding of business professionalism and the ability to work in a team environment
- Strong clerical, administrative and general office skills including attention to detail and rigor
- Excellent planning, leadership, organization, and communication skills
- Ability to communicate and interact within all levels of the organization
- Ability and willingness to work different schedule/flex-hours on site based on project needs
- Strong organizational skills with the ability to prioritize
- Demonstrated high level of analytical ability and ability to problem solve.
- Demonstrated ability to achieve results within a team environment with minimal supervision at times.
JOB REQUIREMENTS
- Mining or heavy industrial construction experience considered an asset
- 3-5 years administrative work experience or related experience
- Travel coordination experience
- Proficient in Word, Excel, PowerPoint, Outlook
- JD Edwards (Oracle) or equivalent procurement system proficiency preferred
- Speaks clearly and persuasively in positive or negative situations
- Listens and seeks confirmation of understanding
- Effectively responds well to questions
- Writes clearly and informatively, edits work for spelling and grammar
- Must be fluent in the English language
- Authorization to work lawfully in Canada without sponsorship from Thiess is required
- Valid drivers license
EDUCATION
- Post-secondary degree in a related field is required, however, relevant experience may be considered in lieu of formal education*

ADDITIONAL INFORMATION
- This is a site-based role on a Monday to Friday schedule that may involve occasional travel.
- The role will cross-project partner with functional peers in multinational jurisdictions.
