POSITION OVERVIEW

We are seeking a detail-oriented and dependable General Accountant to join our team on a part-time basis, supporting The Gathering our flagship event and rapidly growing brand experience platform. This role is responsible for maintaining accurate financial records, supporting forecasting and reporting efforts, and ensuring alignment with financial policies and systems.

You will work closely with cross-functional teams to ensure the financial backbone of The Gathering remains strong, scalable, and insightful. The ideal candidate thrives in a collaborative, entrepreneurial environment, brings a strong sense of ownership, and enjoys building clarity and efficiency into financial operations.

CORE RESPONSIBILITIES

Financial Management

• Prepare and maintain financial records, including invoices, journal entries, reconciliations, and expense tracking.
• Manage accounts receivable and accounts payable processes for The Gathering.
• Coordinate with Cults Director of Finance to support month-end and year-end reporting.
• Track and reconcile budgets for event operations, ticketing, sponsorship revenue, and partnerships.
• Support in managing The Gatherings production, hotel, and volunteer budgets.
• Review and support on vendor contracts and referral agreements.
• Prepare regular financial reports and dashboards for internal stakeholders.
• Work with the Director of Finance on year-end planning and annual budgeting for The Gathering.

Process Support & Compliance

• Ensure accuracy in financial documentation and coding, following company policies and CRA guidelines.
• Maintain organized financial documentation and assist in preparing materials for auditors.
• Recommend improvements to financial workflows and controls as the event and brand continue to scale.

• Continuously seek opportunities to exceed client expectations, fostering a deep emotional connection with the brand.

Operations & Platform
Support

• Oversee management of The Gatherings HubSpot platform, ensuring accurate financial, partner, and sales data is maintained.
• Collaborate with Business Operations and Events teams to support event logistics, vendor payments, and partnership execution.
• Support development and refinement of tools, templates, and documentation housed in Google Drive or other shared platforms.

Collaboration & Communication

• Collaborate closely with the Business Operations and Events teams to support financial needs across ticketing, partnership agreements, and vendor management.
• Provide responsive, solution-oriented support when financial questions arise from internal stakeholders.

Ethical Standards and Compliance

• Uphold strict confidentiality regarding all financial and personnel information, both internally and externally.
• Ensure full compliance with applicable laws, regulations, and accounting standards, including GAAP or ASPE as relevant.
• Demonstrate honesty and transparency in all financial reporting and communications.
• Actively identify and report any discrepancies, irregularities, or potential conflicts of interest in accordance with company policy.
• Maintain professional judgment and objectivity when handling sensitive financial matters or resolving discrepancies.

REQUIRED QUALIFICATIONS

Education and Experience

• Diploma or degree in Accounting, Bookkeeping, Finance, or a related discipline.
• Minimum 3+ years of experience in a general accountant or full cycle accounting or bookkeeping role.
• Solid understanding of Canadian accounting standards (ASPE and/or IFRS), reporting requirements, and tax regulations.
• Strong proficiency with accounting software (e.g., QuickBooks, Sage, Xero) and Microsoft Excel (pivot tables, lookups, etc.).
• Excellent communication, negotiation, and presentation skills.
• Data-driven with strong analytical abilities.
• Ability to work in a fast-paced, dynamic environment.
• Client-focused with a passion for delivering exceptional service.
• Demonstrated ability to work independently and as part of a team, with a high degree of professionalism and integrity.
• Comfortable working with digital tools, accounting systems, and emerging technologies, including AI-powered platforms that support automation and efficiency.
• Prior experience working with events, agencies, or project-based accounting is an asset.
