SALARY/WAGE: $41,500 - $43,500
JOB SUMMARY:
The Agency is assisting Grande Prairie Regional Hospital Foundation in the recruitment of an Administrative Coordinator.
The Grande Prairie Regional Hospital Foundation is a charitable organization dedicated to advancing healthcare philanthropy for the benefit of the citizens in the region they serve. Their mission is to improve health and wellness throughout our region and the communities served by the Grande Prairie Regional Hospital and the QEII Ambulatory Care Centre. They achieve this through the support of donors, sponsors, and volunteers, providing state-of-the-art medical equipment, educational opportunities for healthcare professionals, and various health and wellness programs.

The Administrative Coordinator will be responsible for overseeing all administrative functions at the Grande Prairie Regional Hospital Foundation (GPRHF). This position plays a vital role in supporting the Foundations daily operations, coordinating and completing the donor database, and assisting in managing relationships with donors and sponsors. The ideal candidate will be a friendly and dependable front-facing representative who embodies professionalism and warmth while representing the Foundation.
RESPONSIBILITIES:

  • Collaborate with GPRHF team members to support strategic and operational priorities through effective management of the donor relations database
  • Create and execute a proactive office operations plan aligning daily, weekly, monthly, and yearly goals with the overall strategic plans
  • Monitor, manage, and maintain the donor relationship management (DRM) database, ensuring accuracy and compliance with policies
  • Assist in processing and producing reports as required by department leads
  • Managing the mail merge process for all necessary receipting and documenting, ensuring accurate and timely delivery as needed
  • Respond to inquiries promptly and effectively
  • Perform additional tasks as needed, including editing documents, organizing files, managing office supplies, greeting guests, handling telephone and email inquiries, and managing incoming and outgoing mail

REQUIREMENTS:

  • Proven experience in administrative support or coordination roles, preferably in a non-profit environment
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication and interpersonal skills
  • Proficient in Microsoft Office, with experience in donor relationship management software considered an asset
  • Ability to work collaboratively and take direction in a team-oriented environment
  • Commitment to the mission and values of the Grande Prairie Regional Hospital Foundation
  • Flexibility to handle a variety of tasks and adapt to changing priorities
