Role Overview
The Practice Assistant will support the Disputes, Construction, and Commercial Group. This role requires a proactive, detail-oriented individual who can manage workflows, coordinate with internal teams, and provide high-quality administrative and legal support to lawyers and clients.
Key Responsibilities
Administrative Support
- Manage calendars, coordinate meetings, and schedule travel arrangements.
- Organize meeting logistics, including room bookings and refreshments.
- Oversee file opening/closing and general filing management.
- Handle copying, scanning, courier requests, and mail distribution.
- Support marketing efforts through the preparation of pitches and presentations.
Client Communication
- Respond to internal and external inquiries promptly and professionally.
- Monitor emails and mail, ensuring proper handling of client correspondence.
- Maintain client contact details in the CRM system.
- Schedule and coordinate client meetings.
Document Management
- Review and finalize documents prepared by the Document Production team.
- Draft and format correspondence, reports, and legal documents.
- Create and maintain spreadsheets and other work product as needed.
Billing and Financial Support
- Ensure accurate time entry for lawyers on a daily basis.
- Generate billing reports and coordinate with the billing team.
- Request cheques, process payments, and track incoming funds.
Team Collaboration
- Provide support to fellow assistants and contribute to team-wide initiatives.
- Offer coverage during absences and help with overflow work across departments.
Qualifications & Skills
- Legal Administrative Assistant Certificate from an accredited institution.
- 35 years of experience in a legal administrative role, ideally in civil or construction litigation.
- Working knowledge of court procedures, including filing and service.
- Typing speed of 60+ wpm with a high degree of accuracy.
- Proficiency in Microsoft Office Suite; familiarity with legal tools such as ACL, iManage, and PrimaFact is an asset.
- Strong organizational, communication, and interpersonal skills.
- Ability to work under pressure, meet deadlines, and use good judgment.
- A proactive, professional, and team-oriented mindset.
Compensation
The expected salary range for this position is $53,000$75,000 annually, depending on experience and other factors.
