Communication Administrative Assistant
One Full-Time Permanent Position

- must be within a commutable daily distance from the office and/or service area

- Starting Hourly Rate: $25.45 / Hour
- Office Hours: Monday - Friday - 8:30 am - 4:30 pm, 35 Hours per week
- Office Expectations; Work in the office to provide team coverage, minimum twice per week in addition to in-office meetings, trainings, and supervisions

Job Description
The Communications Assistant is responsible for planning and coordinating communications activities for YSSN's Communications Team. In this role, you will work closely with Supervisor and Communications Specialists to successfully support our communications objectives.
We are seeking candidates who have solid administrative skills, are comfortable working in a variety of business programs/apps and who also possess experience supporting communications-related activities. Ideally, we would like someone who has previously been involved in website maintenance, creation of social media posts, updating SharePoint sites, and/or supporting email marketing efforts. Must be a self-starter and able to independently move projects forward, prioritize tasks, and meet deadlines.
Main Responsibilities
- Support the Communications department with the planning, executing, and tracking of communication and marketing initiatives
- Develop, coordinate, and disseminate various communication activities, events, and promotional materials to key stakeholders (e.g. email campaigns, newsletters, templates, direct mail pieces, brochures, etc.)
- Assist in the creation of content for posting on social media sites and with monitoring activity on the sites
- Maintain and update website including events/workshops
- Create and monitor event registrations and email databases in Constant Contact
- Research stakeholder groups and create contact lists for outreach
- Work with Communications Team to coordinate promotional print and digital campaigns including social media
Position Requirements
- A higher education degree that includes both administrative and communications training
- Experience;
- Minimum two years related experience
- Solid knowledge of email marketing software (e.g. Constant Contact)
- Working knowledge of content management systems (e.g., WordPress, SharePoint)
- Light graphic design experience preferred (e.g. Canva)
- Strong written, verbal, and interpersonal communication skills
- Strong organizational and project management skills, attention to detail
- Ability to use independent judgement and to be self-directed, but able to work as part of a team
- Proficiency in Microsoft Office including Excel and PowerPoint
- Social media experience is a strong asset
- Bilingual (French/English) would be a strong asset
