About the Role: Office Manager

Were seeking an organized, proactive Office Manager who thrives in a fast-paced environment and plays a key role in keeping our high-performing team running smoothly. This specialized role focuses on administrative coordination, HR support, and assisting our finance roles, enabling others to focus on delivering excellence.

Job Purpose

The Office Manager is the administrative hub of PCI, ensuring smooth daily operations and compliance across HR, payroll support, and office systems. This role supports the finance function by coordinating with our freelance bookkeeper and assists the full team by managing workflows, maintaining internal systems, and collaborating with leadership and external partners. With strong organization and communication, you enable PCIs teams to work efficiently and compliantly.

  • Daily operations run smoothly with minimal oversight
  • Timesheets, payroll inputs, and expense documentation are accurate and submitted on time
  • New employees are onboarded with all regulatory and procedural steps completed
  • HR, finance, and admin data is accessible, accurate, and supports decision-making
  • Internal systems and workflows are well-maintained and proactively improved
  • Foster a positive, collaborative environment that supports and strengthens PCIs values and team culture

Key Responsibilities

Office Administration & Support

  • Manage phone inquiries, voicemail, and welcome visitors
  • Maintain office supplies, equipment, and general upkeep
  • Handle mail, courier logistics, and assist leadership with confidential documents
  • Support WSIB documentation and coordinate with Health & Safety team
  • Administer Microsoft 365 accounts and user access

Payroll & Financial Administration

  • Liaise with freelance bookkeeper for timesheets, expenses, and payroll data
  • Ensure accurate submission of employee hours and expense documentation
  • Communicate employee status changes to support payroll processing

HR & People Administration

  • Manage HR administration, employee records, onboarding, and offboarding logistics
  • Coordinate with external HR consultant for compliance and best practices
  • Administer Controlled Goods assessments, training records, and Records of Employment (ROEs)
  • Support internal Health & Safety documentation and compliance tracking
  • Lead recruitment support including job postings, candidate communications, phone screens, interview scheduling, and pipeline management

Resourceful Administrative Support & Creative Thinking

  • Provide proactive, resourceful support across administrative functions
  • Assist with organizing and streamlining workflows to improve team efficiency
  • Support proposal preparation, internal communications, and project coordination
  • Contribute creative ideas to improve processes and support company initiatives

Adaptability & Collaboration

  • Thrive in a fast-paced, evolving environment
  • Communicate openly and escalate issues as needed
  • Work independently while collaborating closely with leadership
  • Adapt priorities as the company grows and changes

Must Have

  1. Excellent communication skills with ability to collaborate effectively across teams
  2. Proactive approach to task management and achieving results with minimal supervision
  3. 23 years experience in a fast-paced, detail-oriented environment
  4. Highly computer literate with strong proficiency in Microsoft 365 and data accuracy
  5. Resourceful and organized with excellent attention to detail and ability to manage multiple priorities

Nice to Have

  1. Familiarity with Canadian compliance practices (e.g., ESA, ROEs, WSIB)
  2. Bookkeeping experience or knowledge of payroll processes
  3. Bachelors degree in Human Resources or related field, or equivalent work experience
  4. Experience using Xero or similar accounting software
  5. Familiarity with Controlled Goods, safety compliance, or NDA management

Working Conditions

PCI promotes a clean and safe working environment that meets or exceeds Ministry of Labour standards. The role is primarily office-based with occasional visits to the production floor. Proper PPE (including CSA-approved safety shoes and safety glasses) is required when entering the shop floor.

Location: On-site, Fasken Road, Toronto, ON
Schedule: Full Time Permanent, Monday to Friday, 7:00 AM 3:30 PM

Compensation & Benefits

  • Competitive annual salary range of $52,000 to $58,000 based on experience
  • Full-time, 40 hours per week schedule (Monday to Friday, 7:00 AM 3:30 PM)
