Position:Receptionist

The Union of British Columbia Performers (UBCP/ACTRA) is an autonomous branch of the Alliance of Canadian Cinema, Television and Radio Artists (ACTRA) the national organization of professional performers working in the English-language recorded media in Canada. ACTRA represents the interests of 30,000 members across Canada.
UBCP/ACTRA is seeking a Receptionist to join our team.
As the first point of contact for Members, Staff, and visitors, this position plays an essential and crucial role as a UBCP/ACTRA ambassador. The Receptionist will greet Members and visitors in a pleasant and professional manner, answer telephones and manage the switchboard, answer Member inquiries and provide general information about the Union, distribute mail, support with courier requirements, assist with office room bookings, attend Membership meetings and maintain a clean reception area.
The successful candidate will bring a high level of customer service and be a skilled multi-tasker with the proven ability to manage a busy switchboard and other office services and projects that may be assigned.
RESPONSIBILITIES:
- Maintains a pleasant and professional first impression to visiting Members, callers, and guests of UBCP/ACTRA.
- Conducts general reception duties, including greeting Members and visitors pleasantly and professionally, and politely eliciting reasons for their visit, directing people courteously to appropriate personnel, and providing general information and materials about the Union to those seeking orientation.
- Answers telephone and manages the switchboard, including Union identification and greeting, transferring calls, paging personnel, taking messages, and keeping a high call volume processed correctly and efficiently.
- Answers inquiries regarding membership enrolment, i.e. eligibility, qualifications, rationale, and procedures.
- Distributes daily mail, incoming faxes and support with all courier requirements.
- Ordering, maintaining, and stocking all Branch supplies, including all forms required from the National office.
- Collecting Membership dues when Membership is not available.
- Ensuring all the Union's informational forms are updated and available to the membership.
- Distribution of Benefits forms to incoming Members.
- Responsible for the booking of all meetings in the Boardrooms and lounge.
- Assists members in signing up for committees, meetings, and courses.
- Helping casting agents, talent agents and payroll companies with Membership numbers and agent information regarding Members.
- Faxes, upon request, to members and the general public, talent agents list, Apprentice Membership Program information and film production list.
- Responsible for maintaining a clean and professional appearance of the reception area.
- Assists in mailouts as required.
- Attends Membership Meetings, as required.
- Other duties may be assigned from time to time by the Employer
- Reports to the Employer.
EDUCATION & EXPERIENCE:
- Undergraduate degree or post-secondary formal training in a relevant discipline with a minimum of two (2) years of related experience is preferred. An equivalent combination of education and experience will also be considered.
- Experience working in a member based and/or customer service-oriented environment.
- Film industry knowledge would be considered an asset.

OTHER:
HOURS OF WORK: 5 days per week (35 hours). Regular office hours M-F 8:30 am to 4:30 pm.
Eligible for the Work-Life Balance Schedule as per Article 21.07 of the UBCP/ACTRA and Unifor Local 3000 Collective Agreement.
SALARY: This position has a current annual salary of Receptionist rate, pursuant to Appendix A of the UBCP/ACTRA and Unifor Local 3000 Collective Agreement and a start rate of $62,611.63 for external candidates.
