Position Overview


Reporting to the Senior Manager, Fund Operations the Associate, Fund Operations role is accountable for a variety of administrative and project related tasks that provide professional support. This position ensures processes and control standards are followed, while seeking to determine, develop, and participate in the implementation of improvement opportunities, contributing to the effective and efficient operation of the business.

Key Responsibilities

  • Prepare and maintain all necessary documentation to support monthly closings and ensure all investment transactions are accurately captured and reconciled in a timely manner.
  • Accurately record all investment activity within internal fund administration platform and ensure data integrity.
  • Assist in the preparation of internal reports and timely completion of regulatory filings.
  • Execute and verify fund distribution calculations and payments to unitholders, ensuring accuracy and adherence to scheduled timelines.
  • Use appropriate tools to analyze fund data to identify discrepancies, operational risks and support process improvements.
  • Manage and update investor and advisor databases, ensuring all required information is complete and accurate.
  • Assist in responding to inquiries from advisors and investors, providing timely and accurate information and escalating complex issues as appropriate.
  • Support initiatives involving external stakeholders such as dealing representatives, unitholders and external business partners.
  • Use initiative to manage tasks based on risk, urgency and business impact.
  • Contribute to internal projects and process improvements.
  • Ability to work toward tight deadlines whilst maintaining attention to detail and accuracy.
  • Work effectively within a team and contributing to a strong, collaborative culture.

Requirements

  • 1-3 years of Advisor Services/Operations experience in a fast-paced organization.
  • Experience in the financial services, clients services or real estate industry is an asset.
  • University degree preferred.
  • Previous CRM experience required (HubSpot preferred).
  • Strong organizational skills and ability to efficiently multi-task and prioritize work.
  • Proficient in MS Office with strong skills in Excel; experience with Power BI, VBA and project management tools is an asset.
  • Demonstrate ability to communicate and interact effectively at all levels of the organization.
  • Excellent written/verbal communication skills to compose a variety of correspondence and ensure accuracy of material.
  • Must be available outside regular office hours to handle issues as they arise.
  • Highly organized, meticulous, and extremely detailed oriented.
  • Bilingual in French or Mandarin is an asset.
