JOB SUMMARY

The Contract Administrator plays a critical role in managing construction-related contracts for the Company and reports to the VP, Structured Transactions. They ensure compliance, monitor financial performance, and maintain organized contract requirements and files. Key responsibilities include overseeing contractual obligations, tracking milestones, ensuring adherence to terms and conditions, and close collaboration with the PMO, accounting, procurement, commercial and legal teams.

Additionally, the Contract Administrator assists in negotiations and bid preparation. Further, they ensure subcontractor compliance, acting as a key point of contact for both internal and external stakeholders. Strong analytical skills, expertise in legal language, attention to detail, effective communication, and solid time management are essential for success in this deadline-driven role.

KEY RESPONSIBILITIES

Responsibilities:

  • Establish and maintain organized electronic and physical contract files, ensuring easy access and retrieval of all relevant documents (agreements, amendments, exhibits, etc.)
  • Monitor project schedules throughout a contracts lifecycle to ensure they meet contractual requirements.
  • Monitor adherence to contractual T&Cs, identifying potential risks or deviations, and escalate issues as necessary. Track key contract milestones and obligations; monitor critical dates, renewals, terminations, deadlines outlined in contracts and communicate to stakeholders.
  • Monitor financial project performance, interacting with the Project Management Office (PMO) and accounting teams to ensure compliance. Further ensure A/R and A/P accounts are current so that projects adhere to contracted budgets.
  • Ensure all applicable Blackstone personnel are aware of and execute all contract obligations well prior to due dates by using strong communication and project management skills. Interact with project management teams and other BES stakeholders to ensure obligations are met.
  • Act as key point of contact for internal and external inquiries regarding contract terms, status, and processes
  • Assist senior personnel in contract negotiations and T&Cs agreements (e.g. information gathering, contact reports/minutes, status meetings, etc.)
  • Ensuring contracts comply with relevant regulations, laws, and industry standards
  • Ensure Blackstone and subcontractor bonding and insurance requirements are met
  • Ensure all subcontractors T&Cs follow partnership and client T&Cs
  • Assist in the development of conditions for bids, proposals, and contracts. Support any RFP processes to secure the best offers
  • Assist senior staff in monitoring project budgets, expenses, payment terms, and other financial obligations
  • Coordinate contractual review and issue management with Blackstones procurement and legal teams

QUALIFICATIONS:

  • The preferred candidate will have a minimum of 4 years experience in a contract administration role in a construction environment
  • A bachelors degree in business administration, finance, pre-law/paralegal studies, public administration, or supply chain management is an asset
  • Strong analytical and problem-solving skills
  • Strong understanding of legal and contractual language
  • Able to work in a team and play a leadership role when needed
  • Good attention to detail, especially with writing and editing
  • Effective and clear communication, both written and verbal
  • Solid working knowledge of accounting and finance principles
  • Exceptional time management related to executed contracts
  • Deadline driven
