As an Executive Assistant, you will be working directly with our CEO, Graeme Barlow. This means driving multiple fast-moving priorities - Iversoft (software development), Barlow Coaching (founder coaching), plus an active angel-investment portfolio and other strategic projects. We are looking for someone who is looking to own every task that drags Graeme from impactful work and builds systems so it doesn't end up back on his plate. You will be training on Dan Martell's Buy Back Principle and his North Star leadership framework to delete, automate, or delegate ruthlessly.
While this role is fully remote - the successful candidate will be required to reside in the Metro Vancouver area as it will include running errands to support the CEO.
Please note that the salary range for this role is $55,000-70,000 CAD.
Responsibilities1. Company Ops & Admin (~60 %)
- Calendar & Inbox Control — defend focus time, triage email, handle routine correspondence.
- Meeting Execution — prep briefs, capture actions, chase accountability across business lines.
- Project Coordination — track cross-functional to-dos in ClickUp/HubSpot/Notion; flag blockers fast.
- Travel & Events — plan multi-city travel, client off-sites, conferences; optimise reward points & budgets.
- Documentation & SOPs — turn repeatable work into playbooks, then hand off to interns or VAs.
- Light Finance Admin — expense processing, invoicing, vendor nudges, zero-surprise bookkeeping hand-offs.
2. Personal & Household Support (~25 %)
- Errands & Logistics — courier documents, pick up equipment, manage Instacart/Amazon orders, and schedule home services.
- Life Admin — book medical, legal, and personal appointments; manage renewals and subscriptions.
3. Buy-Back & North-Star Execution (~15 %)
- Time Audit — track where my hours actually go; surface tasks to kill, shrink, or delegate.
- Process Optimisation — implement automations (Zapier, AI agents, Airtable) that erase manual drudge.
- North-Star Filtering — push back on requests misaligned with quarterly OKRs or personal priorities.
- 30 Days: Inbox < 20 by 5 pm daily; zero scheduling conflicts; baseline time audit complete.
- 60 Days: 25+ tasks captured as SOPs; 50 % of calendar handled end-to-end.
- 90 Days: ≥10 hrs/week reclaimed; 90 % of personal logistics off my plate; first VA onboarded using your playbook.
Requirements
- Based in Greater Vancouver (2-3 in-person errand runs/week).
- 3+ yrs supporting founder/C-suite in tech, startup, or VC environment.
- Master of Google Workspace, ClickUp/Asana/Notion (or similar),Slack, AI assistants.
- Experience creating automations in email and other useful settings (ex. Using Zapier)
- Valid B.C. driver's licence & reliable transportation (carshare/e-bike OK) — you'll be trusted with vehicle charging and other runs.
- Operations mindset: love checklists, hate chaos.
- Sharp written communicator able to ghost-write emails/posts that sound like me.
- Deep discretion: you'll see financials, decks, and personal data.
- Familiarity with Dan Martell's work or Buy Back Your Time certification.
- Experience onboarding/managing contractors, VAs, or household staff.
- Basic bookkeeping
- Content-ops skills (podcast/video publishing, Canva edits).
- Experience with HubSpot
