Overview and Purpose of the Role

Reporting to the Pharmacy Manager, this role is responsible for the technical aspects of dispensing prescription medications for patients or healthcare professionals. The incumbent will perform various tasks related to medication preparation, inventory management, customer service, and administrative duties to ensure the smooth operation of the pharmacy.

Key Duties & Responsibilities:

Medication Dispensing

  • Accurately dispense prescription medications by measuring, counting, and packaging medications according to prescription orders
  • Maintain appropriate levels of prepacked medication inventory to supply automated dispensing cabinets
  • Perform pharmaceutical calculations accurately as required
  • Perform dispensing, stock issues and replenishment using the Pharmacy Computer system
  • Maintain and replenish crash trays, OR trays, etc. using technology to help manage lot number and expiry tracing
  • Replenish medication to all automated dispensing cabinets throughout the organization as scheduled
  • Perform discrepancy resolution in the automated dispensing system especially as it relates to narcotic discrepancies.
  • Generate reports from the automated dispensing system as scheduled
  • Utilize system to minimize stock out situations at the units

Narcotic and Controlled Substances

  • Maintain all documentation for narcotic actions and transactions
  • Resolve any narcotic discrepancy which could be a lengthy investigative process
  • Maintain narcotics in the automated dispensing cabinets, replenishing stock, daily drug audit report reconciliation with usage records, inventory counts etc.
  • Perform narcotic prepacking
  • Prepare and organize expired narcotic list for Pharmacy Manager and set aside for disposal according to procedure by the Bureau of Dangerous Drugs
  • Prepare compounded medications following established protocols and safety procedures as required

Inventory Management

  • Maintain pharmacy inventory by ordering, receiving, and stocking medications and supplies. Monitor expiration dates and ensure proper storage of medications
  • Monitor and maintain inventory levels of all medications/supplies for optimal operation at Schroeder Ambulatory Centre
  • Perform receiving verification of supplies shipped according to order and packing slip
  • Prepare all invoices, packing slips and purchasing orders to send to accounting for payment
  • Restock medications on shelves in Pharmacy once received
  • Rotate stock and monitor expiry dates and have a retrieval system for outdated products
  • Maintain and update all inventory purchase records
  • Ongoing monitoring of organizations pharmaceutical contract pricing and initiate procedure for reimbursement to the organization accordingly
  • Perform pricing and updates of medications in the Pharmacy software solution
  • Manage drug product shortages and backorders
  • Prepare monthly purchasing reports for analysis
  • Monitor new contract pricing and update database as needed
  • Participate in Group Purchasing Organization meetings and internal meetings as needed

Quality Assurance

  • Perform routine checks on medications and equipment to ensure compliance with pharmacy regulations and standards. Report any discrepancies or issues to the pharmacist
  • Follow all provincial/federal regulations governing the practice of pharmacy, including HIPAA, OCP, NAPRA, Accreditation Canada etc.

Administrative Tasks

  • Complete paperwork which may include prescription labels, patient profiles, or any information that must be gathered and maintain accurate records of prescription transactions and patient information
  • Answer inquiries about medications, dosage instructions, and potential side effects. Provide excellent customer service while adhering to confidentiality and privacy regulations
  • Support the organization in various tasks, such as conducting medication therapy review prior to surgery as per policy and procedure etc.

Corporate Responsibilities

  • Participate in all mandatory training requirements and work in compliance with the Occupational Health and Safety Act and Regulations, company Policies and Procedures, as well as established industry guidelines

Skills & Qualifications:

  • Certification from a recognized Pharmacy Technician program at the Community College level or equivalent work experience
  • Pharmacy Technician (R.Ph.T) registration from the Ontario College of Pharmacists that is in good standing
  • Minimum 3 - 5 years related experience in hospital pharmacy is an asset
  • Excellent verbal and written communication skills
  • Superior interpersonal skills including the ability to work effectively in a team environment
  • Ability to exercise significant discretion and sensitivity involving access to confidential information
  • Strong analytical and problem-solving skills involving ability to analyze problems and apply effective solutions
  • Computer proficiency in MS Office (Word, Excel, Outlook) and Meditech would be an asset
  • Knowledge of pharmacy laws and regulations
  • Satisfactory passing of a criminal record check/vulnerable sector check
  • Provide proof of Immunization and TB records
