Were seeking an organized, proactive Office Manager who thrives in a fast-paced environment and plays a key role in keeping our high-performing team running smoothly.
Job Purpose:
The Office Manager is the administrative hub of PCI, ensuring smooth daily operations and compliance across HR, finance coordination, and office systems. This role supports the full team by managing workflows, maintaining internal systems, and collaborating with leadership and external partners. With strong organization and communication, the Office Manager enables others to focus on their roles while keeping PCI running efficiently and compliantly.
What Success Looks Like:
- Daily operations run smoothly with minimal oversight
- Timesheets, payroll inputs, and expense documentation are accurate and submitted on time
- New employees are onboarded with all regulatory and procedural steps completed
- HR, finance, and admin data is accessible, accurate, and supports decision-making
- Internal systems and workflows are well-maintained and proactively improved
Responsibilities:
Office Administration & Organizational Support
- Answer and direct inquiries via phone system and manage voicemail
- Welcome and assist visitors and staff; maintain a professional front office presence
- Maintain supplies, equipment, and general office upkeep
- Manage mail and courier logistics
- Assist CEO and management team with admin tasks, NDAs, and confidential document handling
- Support WSIB-related documentation and coordinate with internal H&S representatives
- Administer Microsoft 365 accounts, including user setup, access permissions, and ongoing maintenance to support secure and efficient collaboration.
Payroll & Financial Coordination
- Act as the primary internal contact for the freelance bookkeeper
- Collect and validate employee timesheets and submit approved hours
- Communicate employee data and status changes (e.g., hires, terminations, wage updates)
- Track and submit employee expenses and ensure documentation aligns with CRA requirements
- Support accurate data collection and coordination for payroll and financial compliance
HR & People Operations
- Serve as PCIs internal HR generalist, managing HR administration, employee file upkeep, and onboarding logistics
- Coordinate with the external HR consultant to ensure compliance with employment legislation, policies, and best practices
- Administer Controlled Goods assessments, training records, and offboarding workflows
- Coordinate with the freelance bookkeeper to ensure timely and accurate filing of Records of Employment (ROEs)
- Support internal H&S documentation, verification processes, and compliance tracking
Sales & Marketing Coordination
- Assist with marketing materials, lead tracking, and CRM-based follow-ups
- Coordinate website updates and light SEO/analytics tasks
- Support preparation of proposals and client follow-up communications
Full-Cycle Recruitment Support
- Post job openings on HR platforms and social media
- Conduct initial phone screens and schedule interviews
- Coordinate communication between candidates and hiring managers
- Maintain candidate records and assist with pipeline building
Adaptability & Collaboration:
- Comfortable working in a fast-paced, evolving environment
- Open communicator who shares status, asks questions, and escalates when needed
- Confident working independently while collaborating closely with leadership
- Ready to shift priorities as the company scales or pivots
Must Have:
- Experience in bookkeeping, HR administration, or operational coordination
- Familiarity with Canadian compliance practices (e.g., ESA, ROEs, WSIB)
- Strong organizational and problem-solving skills
- Computer savvy with ability to adopt new systems quickly
- A mindset for innovation and interest in using AI to improve workflows
Nice to Have:
- Bachelor's degree in Human Resources or related field, or equivalent work experience.
- Strong analytical and critical-thinking skills.
- Experience using Xero or similar accounting software
- Familiarity with Controlled Goods, safety compliance, or NDA management
- Website CMS and/or light marketing coordination experience
Working Conditions:
PCI promotes a clean and safe working environment that meets or exceeds Ministry of Labour standards. The role is primarily office-based with occasional visits to the production floor. Proper PPE (including CSA-approved safety shoes and safety glasses) is required when entering the shop floor.

Schedule: Full Time Permanent, Monday to Friday, 7:00 AM 3:30 PM
