Function & Overview

Under the supervision of the Campus Manager, the Office Administrator will ensure the efficient and effective operations of both the Ohsweken and Brantford Campuses main offices in accordance with established policies and procedures. The Office Administrator willbe responsible forcreatingawelcoming, safe, and healthyspacesfor staff,students,and visitors. The Office Administrator is required to perform all duties consistent with the governance values and operating policies of Six Nations Polytechnic (SNP) while fostering positive relations with staff, students, stakeholders, and the community; contributing to a culturally supportive teaching, learning and work environment consistent with Hodinsh:nih/Rotinonhson:ni values of Ganigohi:yo:/Kanikoriio (Respect and the Good Mind).

Duties

Theduties of theOffice Administrator include,without limitation:

General Administration

  • Assisting and supporting the daily office activities and operations;
  • Providing reception functions that include greeting visitors, responding, and redirecting inquiries in person, by telephone, or email based on established policies and procedures;
  • Performing administrative activities associated with student services as required;
  • Coordinating and preparing reports, meeting minutes, letters, bulletins, posters, and other communications as requested;
  • Maintaining the confidentiality of information, documentation, and files;
  • Completing and coordinating rental agreements/requests and ensuring all necessary equipment and room configurations are complete per the agreements;
  • Maintaining Outlook calendars for room bookings for scheduled classes, rentals, appointments, meetings, and student transportation;
  • Assisting in the set-up and coordination of business meetings, training sessions, presentations, luncheons, as requested;
  • Providing administrative support for the contract management process, including procurement and delivery of goods and services;
  • Processing invoices, expense claims, petty cash, and travel advances for assigned staff;
  • Monitoring expenses and budget variances;
  • Collecting payments and processing refunds, as required;
  • Reviewing and analyzing special reports, summarizing information, identifying trends, and advising, as required;
  • Setting-up and maintaining information filing systems, both electronic and/or paper that may include staff and student records, attendance, and vendor files, and defining and following procedures for retention, protection, retrieval, transfer, and disposal;
  • Ensuring campus bulletin boards and related information such as evacuation routes and fire drill data are maintained and up to date;
  • Collecting and appropriately managing any direct mail, packages, faxes, and other incoming information;
  • Overseeing the maintenance of office equipment and supplies and reporting issues;
  • Completing monthly orders for office supplies and other materials, as required;
  • Providing administrative fill-in and support functions to other units within SNP, as required;
  • Promoting and participating in maintaining a positive climate for learning, dealing sensitively, respectfully, and fairly with persons from diverse background; and
  • Ability to travel to and perform duties at both the Ohsweken and Brantford campuses; and
  • Other related duties, as required.


Qualifications

Education & Experience

  • Post-secondary diploma, degree or certificate in business, administration, or a related field;
  • Minimum 2 years office administration experience; and
  • Experience working in an education setting is considered an asset.

Knowledge, Skills & Abilities

  • A general and current knowledge of Hodinsh:nih history, culture, values, contemporary issues, community priorities, and stakeholders;
  • Ability to establish and maintain a positive and professional rapport with students, staff, parents/guardians, and community stakeholders that creates respect and adherence to the most stringent ethical and professional standards;
  • Ability to work evenings, weekends, and off hour special events, as required;
  • Sound interpersonal skills including organization, negotiation, confidentiality, and professional judgement;
  • Proven problem solving and organizational skills with the ability to effectively multi-task and prioritize;
  • Excellent communication skills with an emphasis on written expression (i.e., faultless spelling and grammar, and professional style);
  • Strong knowledge of software/applications including Word, Excel, Access, PowerPoint, Outlook, and Teams;
  • Ability to learn school office systems that include SIS, LMS, School Messenger, and other systems;
  • Ability to work with minimal supervision with discretion;
  • Willingness to take additional training and professional development;
  • Ability to work under pressure and manage schedules, portfolios, and timelines, to meet demanding deadlines;
  • Capacity to work both independently and in a team setting, demonstrating Hodinsh:nih/Rotinonhson:ni values of Ganigohi:yo:/Kanikoriio (Respect and the Good Mind);
  • Awareness of Six Nations community diverse culture; and
  • Demonstrated familiarity with standard desktop computing programs, including spreadsheets, word processing, and database applications, on the Windows 2010 (or later) operating system.

Schedule:

  • 7.5-hour shifts
  • Monday to Friday
  • 37.5 hours per week
